Scope of Position:

The Supervisor of Medical Records Coding Specialists is responsible for the timely and accurate coding of outpatient visits and managing timely and accurate auditing of coded medical records.  This position is critical to the financial and legal standing of the hospital.  If records are not coded in a timely fashion or if codes misrepresent the patient visit, payers may refuse or delay payment of hospital bills.  The supervisor shall assist in planning, organizing, staffing, directing the outpatient coding area to ensure timely completion of medical record coding reviews and outstanding accounts not billed. The supervisor is responsible for monitoring the productivity and quality of the medical records coding specialists’ training, monitoring performance and ensures accurate and compliant coding and billing practices within the medical center.

Position Summary:

The position serves as the supervisor for Radiation Oncology medical records coding specialists.  This team is vital to the continued operation of the entire Department as it serves to assign the codes necessary for the billing of the radiation oncology visit.  Sets daily priorities, monitors accounts not coded, and trains and supports coding specialists in assigning ICD-10-CM diagnoses. The supervisor monitors performance to assure accurate and compliant coding and ensures compliance with policies and procedures and billing rules.

The supervisor sets forth daily priorities for the staff and makes suggestions for change to the Director of Clinical Operations.  The supervisor is also responsible for coding of medical records and other documents the patient’s visits. This requires selection of appropriate diagnosis, principal and secondary diagnoses, deciphering handwriting of professional staff, and sequencing diagnoses and procedures abstracted from medical records. Data is then entered into a computer system.

Minimum Qualifications  

For Hire:        

  • Associate’s degree in a related field with 3 years of relevant knowledge and strong coding background required or equivalent combination of education and experience. 
  • Minimum completion of a CAHIIM approved coding certificate program or HIMT program or equivalent education & experience.
  • Demonstrated coding proficiency through satisfactory completion of OSUWMC’s coding test.
  • Familiarity or experience with computer assisted coding and/or automated encoder.

Required:

  • Required for hospital coding : Credentialed as a Registered Health Information Technician (RHIT), Registered Health Information Administrator (RHIA), or Certified Coding Specialist (CCS) by the American Health Information Management Association; or Certified Outpatient Coder (COC), formerly CPC-H, by AAPC; or Radiation Oncology Certified Coder by AMAC (note: applicable if only coding Radiation Oncology accounts).
  • Required for professional coding : Credentialed as a Registered Health Information Technician (RHIT), Registered Health Information Administrator (RHIA), or Certified Coding Specialist (CCS) by the American Health Information Management Association; or Certified Outpatient Coder (COC), formerly CPC-H, or Certified Professional Coder (CPC) by AAPC; or Radiation Oncology Certified Coder by AMAC (note: applicable if only coding Radiation Oncology accounts).

Competency expectations:

  • Maintain continuing education requirements as determined by the American Health Information Management Association or American Academy of Professional Coders.  Review Coding Clinics, CPT assistant as frequently as needed for education purposes, and to ensure the official coding guidelines are followed. 
  • The medical records coding specialist attends coding meetings and coding education sessions for updates on coding guidelines and related issues while maintaining a minimum score of 90% on coding assessments quarterly.
