Department Description

UC Davis Continuing and Professional Education (CPE) is the lifelong learning arm of the university. The division maintains the most diverse portfolio on the campus, with programs spanning pre-college, professional continuing education, workforce development, international academic and cultural exchange, and training services for corporate and agency partners. As a global leader in continuing education, CPE serves learners regionally, nationally and globally, and posts more than 55K enrollments annually making it the third largest UC Extension by enrollment. Beyond its community-facing role, CPE serves as the internal hub for online education in support of other academic units on the campus. CPE employs approximately 180 employees and draws on the expertise of approximately 1,700 instructors.



Job Summary

This is a student-facing, in-person position. Under general supervision of the Director/Academic Administrator of the Forensic Science Graduate Program, provides a full range of student services using discretion and independent judgment; and provides a range of high level administrative and programmatic supports to Director, Graduate Group Chair and associated committees. Primary duties: comprehensive advising on a range of complex issues to graduate students and applicants; interpreting, supporting and implementing complex admissions processes; developing/managing student services and programmatic supports; advising faculty & management on a variety of student issues/policies; recommending changes to policies and procedures to ensure adherence to campus standards; providing reports and analytic support to leadership on a range of student issues; contacting faculty regarding availability for teaching classes; scheduling classes with the Registrar’s Office; conducting the administrative aspects of instructor hiring; serving as safety officer; assisting Director in day-to-day management of program, including acting in director’s absence; overseeing purchasing; managing to a budget in a self-supporting context; dealing with travel arrangements; providing logistic and planning support for courses, meetings and events.   • Limited or restricted vacation during peak advising and admissions periods and other critical programmatic deadlines.
  • Occasional travel.
  • Valid CA Driver License.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Bachelor’s degree in a related area and/or equivalent work experience & training.
  • Experience advising students, including peer advising. Experience maintaining confidentiality of student information/records in accordance with applicable regulatory requirements.
  • Experience in providing administrative support to a higher education degree program to include assisting faculty and other staff members.
  • Experience using software platforms in higher education, e.g. Banner, Slate, GradHub, Canvas, or other OGS and UCD web-based tools. Intermediate experience with Microsoft Office Suite, and database management.
  • Experience using organizational and project management skills to establish priorities, develop course of action, manage multiple projects in various stages of completion, review and analyze results with attention to detail to ensure timely and accurate completion of tasks.

Minimum Knowledge, Skills, and Abilities (KSA):

  • Interpersonal, verbal and written communication skills to interact professionally and effectively in person, by e-mail and on the phone with a diverse group of colleagues, faculty, staff, students, the public and other outside agencies.
  • Analytical skills to define a problem, identify issues, analyze data and alternative solutions, weigh consequences of solutions and make recommendations and decisions while maintaining discretion and tact to provide customer service to clients.


PREFERRED QUALIFICATIONS

Preferred Education/Experience:   

  • Experience interpreting and applying complex policies and procedures within higher education to ensure compliance and minimize liability risk.
  • Event planning experience to include vendor negotiation, site evaluation/selection, coordinating attendance, budgeting, processing payments/reimbursements and making travel arrangements.
  • Experience compiling, analyzing, synthesizing, and reporting statistical data; experience using data to derive insights and make recommendations.
  • Current knowledge of advising methods & strategies, and experience applying in the context of graduate education.

Preferred Knowledge, Skills, and Abilities (KSA):

  • Knowledge of UC policies related to admissions, student fees, leaves of absence and other related academic policies.
  • Knowledge of academic programs, requirements, and educational options.
  • Skill to apply complex university and campus admission and selection policies and procedures.
