Department Description

The College of Biological Sciences (CBS) mission is to develop future leaders through outstanding programs of graduate education. CBS administers eight interdisciplinary graduate programs, and one designated emphasis, in biology-related disciplines. A student services management team provides a service unit approach to graduate education, including expertise and administration of the CBS graduate groups (approximately 455 students and 475 faculty across 55 departments and six colleges).



Job Summary

Under general supervision, independently manage, develop and coordinate the complex student services for the Biological Sciences graduate programs. This position oversees 1 to 2 interdisciplinary graduate groups within the college. Plan, manage and implement all aspects of the recruitment and admissions process. Advise on graduate education policies and provide advising to the faculty, students and staff. Communicate and develop policies and procedures that ensure compliance with Graduate Studies rules, regulations, and deadlines. Provide independent analysis, interpretation and administration of numerous and intricate regulations, policies, and operations. Provide proactive advising, monitor progress from matriculation through degree conferral. Manage graduate group administrative and fellowship budgets.

WORK ENVIRONMENT

·       Occasional overtime on weekdays and weekends.

·       Occasional overnight travel.

·       Limited or restricted vacation during peak advising and admissions periods and other critical programmatic deadlines.

·       Work at the College of Biological Sciences commencement each year.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

·       Experience at the University level working with graduate students in a degree-oriented program (assessing progress toward degree); understanding and knowledge of academic needs and concerns of students in a higher educational setting.

·       Experience with counseling and guidance techniques to advise graduate students and to help them resolve academic, social and emotional problems; and to make sensitive referrals.

Minimum Knowledge, Skills, and Abilities (KSA):

·       Analytical skills to evaluate and interpret complex policies, procedures and reference materials that apply to graduate students; to evaluate and interpret a wide variety of domestic and international college credentials and to analyze new and existing policies to develop procedures to meet requirements.

·       Writing skills to compose and edit correspondence, reports, reviews and informational materials to correspond with applicants, faculty, students, student services offices and off-campus agencies and organizations.

·       Leadership skills to advocate for and guide graduate programs toward their stated mission.

·       Skills to project cost estimates, budgets and assemble statistical reports.

·       Organizational and time management skills to meet deadlines and anticipate needs of the program and students.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:   

·       Experience working in an academic environment with pressures (personal/social) encountered by students at a major research university, including students from underrepresented groups.

·       Experience with confidential student records and other sensitive materials or information.

Preferred Knowledge, Skills, and Abilities (KSA):

·       Knowledge and skill using UC Davis advising tools such as Banner, ICMS, DESII, and GradHub.

·       Strong academic and practical knowledge of student development and advising theory.
