The University of Miami is currently seeking a dynamic individual to fill the role of full-time Senior Program Coordinator for the academic programs in Construction Management (CM) at our Coral Gables, FL location. This program is joint between the School of Architecture and the College of Engineering.

In this position, the Senior Program Coordinator will play a crucial role in overseeing the day-to-day operations of the program. Reporting to the Director of the Program, the incumbent will actively contribute to the development, organization, recruitment, and evaluation of the programs falling under the Construction Management umbrella. The primary focus is to align these programs with the overall mission, goals, and objectives of the School of Architecture and College of Engineering.

The Senior Program Coordinator is expected to be well-versed in University, College, and program policies and procedures, ensuring strict program compliance. Acting as a liaison, the individual will foster effective communication between the Program Director, Office staff, School of Architecture (SoA), College of Engineering (CoE), Office of Advancement, Graduate School, and various community stakeholders, including board members and construction industry organizations.

Primary Responsibilities:

  • Exercise discretion while representing the program and Program Director as the liaison to program constituents, both within the University of Miami (i.e., students, administrative offices, teaching faculty) and externally (i.e., prospective students, corporations, community).
  • Assist and support student participants in all administrative aspects of the program. This includes the receipt and processing of applications for admissions, scheduling interviews, registering students, and maintaining applicant and participant databases.
  • Collaborate with the School of Architecture (SoA) / College of Engineering (CoE)'s Academic Services and Career Placement Office, as well as other University units involved in admissions and student services.
  • Coordinate collaboration between schools and academic support units throughout the University to support program goals.
  • Coordinate the collection, compilation, and analysis of program activity data.
  •  Draft comprehensive statistical and narrative program reports and evaluations for the Director's review including monitoring program effectiveness and making suggestions for revisions as necessary.
  • Coordinate the scheduling of program classes and designated classrooms.
  • Plan and organize events for recruitment and programmatic activities.
  • In consultation with the Director, draft, and initiate correspondence, develop agendas, maintain calendars, assist in the accumulation of reference materials, and coordinate and attend committee meetings. This includes preparing meeting materials, recording minutes, and assisting with follow-up activities.
  • Assist the Program Director with the development and implementation of student recruitment initiatives and program promotion, including contributing to the development of program marketing and advertising strategies.
  • Ensuring compliance with university, college, and program policies and procedures when performing tasks.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities:

  • Ability to function independently and adhere to established deadlines with minimal supervision. This individual will exercise sound judgment in answering questions and appropriately refer problems to the Program Director. Responsibilities include interacting with current and potential graduate students, alumni, faculty, and board members. The incumbent must demonstrate strong organizational skills, efficiency, effective multitasking abilities, and the capacity to manage a high volume of administrative paperwork and communications with minimal supervision.
  • Proficiency in the MS Office suite (Word, Excel, PowerPoint), with preferred experience in Adobe Photoshop and Publisher.
  • Desired experience with Workday/Cane Link.
  • Bilingual proficiency (English/Spanish) is preferred.
  • Skills in assessing, organizing, and prioritizing multiple tasks. Strong written and verbal communication skills.
  • Ability to lead, motivate, and direct. Effective communication with individuals at all levels, including employees, colleagues within and outside of the School of Architecture, and Board Members.
  • Customer-oriented mindset.

Minimum Requirements:

Education Requirements (Essential Requirements):

  • High school diploma or equivalent. Bachelor’s degree in business administration / management or similar or Master’s degree preferred.

Work Experience Requirements (Essential Requirements):

  • Minimum 3 years of relevant experience. Five (5) years of progressive experience as an Administrative Assistant or Program Coordinator or Manager preferred. Any relevant education, certifications and/or work experience may be considered.
  • Construction and or Real Estate industry experience preferred.
