Job Summary:

The Senior Administrative Specialist in the College of Science & Technology’s Sbarro Institute under the Biology division will manage the operations, academic, and grant relationships under the direction of the Institute Director. Coordinates the Institute’s activities such as implementing departmental systems and financial procedures related to maintaining department records, managing the office operations, assisting in budget management, preparing reports and/or financial analyses, organizing special events, oversight of department programs, communication with the University, and public, and management of financial, staff, and scientific resources.  Processes and submits all J-1 and H1-B visa applications and generates appointment letters for all visa scholars. Ensures compliance with all University, college, departmental, and Sbarro Institute policies and procedures. Communicates regularly with institute staff and collaborators to obtain and disseminate updated and accurate information regarding institute activities and reports. Assists in creating and managing special events and seminars of researchers and those visiting and/or affiliated with the Sbarro Institute. Performs other related duties as assigned.

Essential Functions of Position:

  • Regularly communicates with institute staff and collaborators to obtain and disseminate updated and accurate information regarding institute activities and reports.

  • Processes and submits all J-1 and H1-B visa applications and generates appointment letters for all visa scholars.

  • Secures on and off-campus housing for all international visa scholars.

  • Assists with placing research orders in TUmarketplace and submitting invoices in Concur.

  • Call in repairs to Facilities and prepare work orders.

  • Assists in creating and managing special events and seminars of researchers and those visiting and/or affiliated with Sbarro.

  • Assists on hiring Sbarro student workers, Postdoctoral Fellows, NTT’s researchers and technical staff.

  • Assists with and prepare various reports, including financial reports based on Sbarro operations and grant expenditures.

  • Assists with coordinating and managing all special projects

Required Education & Experience:

At least three (3) years of directly related experience.  An equivalent combination of education and experience may be considered.

Required Skills & Abilities:

  • Proficiency with Microsoft Office Suite, particularly Excel.

  • Excellent written and verbal communication skills.

  • Strong interpersonal and collaborative skills, with the ability to interact effectively with a diverse population of administrators, faculty, staff, students, and the public.  

  • Proven ability to work collaboratively across departments, units, and platforms.
