The Herbert Wertheim College of Medicine is currently seeking a Sr. Coordinator of Administrative Services to join our team of professionals.

Duties include:

  • Coordinates and provides support to the administrative operations for the clinical operation team members, which includes Health Information managers (HIM), Privileging & Credentialing, Risk and Quality for the Herbert Wertheim College of Medicine (HWCOM).
  • Manages the office calendar and coordinates various meetings for new and existing roll outs, implementations, root causes, education and follows up with Legal, Risk, and Quality. Ensures all meeting requirements are coordinated and maintains minutes and action plans for performance improvement, risk management, and quality improvement documentation.
  • Manages the Self-Insurance Program process for the clinical providers for HWCOM and Florida International University (FIU). Tracks and monitors covered practitioners and manages yearly review for actuarial purposes. Oversees planning and coordination of the Self-Insurance Program Council Meetings.
  • Collaborates the development and maintenance of all clinical operations related materials such as, protocols, policies, templates, guidelines, forms, logbooks, and educational guides.
  • Assists HWCOM Risk Manager in maintaining record of all incident reports across HWCOM. Provides support to ensure accurate records and follow up of all incidents is conducted and aids with conducting Root Cause Analysis, and records management. Participates in routine risk prevention rounds in all clinical areas (checking expired supplies, logs, automated external defibrillator (AED), oxygen tanks, verbal orders, sets up flu stations and suction machine)).
  • Manages and maintains websites for the Clinical Operations Team.
  • Provides administrative support for HWCOM Quality Improvement activities which may include conducting initial research for best practices, assisting in developing and facilitating trainings for faculty/staff and assisting in ensuring timely follow up on Quality initiatives.
  • Coordinates attendance, develops draft agendas, minutes, letters, final outcomes, and workforce agreements.
  • Responsible for supervising and onboarding/training federal work study student, as appropriate.
  • Processes travel authorizations, mileage, and expense reports.
  • Collaborates with the clinical operations team members with all projects, in all stages of research, preparation, planning, initiation, formatting, implementation, and evaluation.
  • Performs essential duties in any emergencies such as hurricanes, public health emergencies, and/or any other university emergency closing. The employee is expected to be available to report to work as needed during university emergency closing with appropriate notification of a department administrator.
  • Performs related duties as required or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

 

Bachelor's degree and three (3) years of office or related experience providing administrative support, or coordinating functions of an office or department.

Previous administrative experience in a medical school and/or clinical environment.
