The Office of Diversity & Multicultural Affairs has an exciting opportunity for a Full Time Sr. Administrative Assistant to work at UHealth. The Senior Administrative Assistant performs a variety of clerical functions and office support activities for the assigned department(s) to facilitate the efficient operations of the office.  

  • Supports the day-to-day operations and serves as the key front office staff for the Office of Diversity, Inclusion, and Community Engagement.

  • Supports the assistant dean of diversity with scheduling appointments, updating calendars, and travel arrangements.

  • Collects, reviews, analyzes complex and/or confidential data and prepares reports, charts, budgets, and other presentation materials.

  • Supports the assistant dean of diversity with the department budget.

  • Supports the department with answering phones, typing correspondence, coordinating departmental meetings.

  • Supports the department with the coordination of events.

  • Attends meetings as assigned by the assistant dean of diversity, records minutes of meetings, and distributes as needed.

  • Contacts or responds to contacts from high-ranking individuals inside and outside the organization.

  • Supports the Associate Director in the coordination of the Academic Year Pathway Programs and Medical Scholars Pathway Programs.

  • Processes temporary positions for pathway program staff in Workday.

  • Processes purchase orders, expense reimbursements, and check requisitions in Workday.

  • Manages the Office of Diversity, Inclusion, and Community Engagement website.

  • Manages the Office of Diversity, Inclusion, and Community Engagement inbox.

Minimum Qualifications

  • High School diploma or equivalent

  • Minimum 3 years of relevant experience

Knowledge, Skills, and Attitudes:

  • General knowledge of office procedures and operations.

  • Ability to accurately prepare and maintain records, files, reports, and correspondence.

  • Ability to communicate effectively in both oral and written form.

  • Ability to maintain effective interpersonal relationships.

  • Ability to process and handle confidential information with discretion.

  • Skilled in completing assignments accurately and with attention to detail.

  • Proficiency in computer software (i.e., Microsoft Office)

  • Ability to work under a high level of stress with time constraints while maintaining composure.

  • Ability to relate effectively to the medical staff and other departments.

  • Ability to maintain absolute confidentiality.

  • Adaptability to work environment.

  • Ability to attend after-hours events as needed.

Any relevant education, certifications and/or work experience may be considered.
