JOB SUMMARY

The Sport Clubs Manager is responsible for the strategic direction, administration and management of the Associated Students Sport Club Program including the Sport Clubs Department, Sport Clubs Athletic Training Program, Sport Clubs Council, Special Events and the Matador Sports Network. This position supervises a department with four full time employees – Sport Clubs Senior Coordinator, Sport Clubs Head Athletic Trainer, Sport Clubs Coordinator, Sport Clubs Athletic Trainer, 20+ part time non-student employee coaches, 35+ student employees and numerous volunteers. This position requires a thorough understanding of Sport Club policies and best practices within the CSU and across the nation to strategically move the program forward.  The Sport Clubs Manager will maintain and update the operating procedures and risk management for sport clubs in compliance with current policies, procedures, laws and executive orders. The position will oversee and direct the human resources of the department, develop and maintain the budget of the program and the Sport Club Council. Incumbents must have the ability to create lasting partnerships with various campus entities, alumni and individuals and entities outside the CSUN community. Incumbents need to have the ability to perform a wide variety of professional services and responsibilities, including long term planning, conflict resolution, direct marketing for the program, negotiating internal and external agreements, must have the ability to comfortably speak to large audiences, must oversee a dynamic schedule of events, manage numerous staff positions, complete academic eligibility verification, forecast and manage budgets, assist with recruitment and admissions, administer student travel and do so without direct supervision in an unpredictable and rapidly changing environment. Reporting to the Director of Student Engagement & Services, will ensure programming aligns with Sport Clubs, Associated Students and University goals and priorities.

The Sport Clubs Manager's duties include, but are not limited to:

General: Direct and manage the Associated Students Sport Clubs Program including the Sport Clubs Department, Sport Club Athletic Training Program, Sport Clubs Council, Special Events and Matador Sports Network. Supervise the Sport Clubs Manager, Head Athletic Trainer, Athletic Trainer, Sport Clubs Coordinator, 20+ Sport Club Coach employees, 30+ Sport Club Volunteer Coaches, Sport Club Council Executives and Sport Club Officers from 30 university-recognized organizations. Direct the short-term and long range development and implementation of the Sport Clubs Program. Work to retain current members and attract new members to the department through effective programming, marketing of events and games and recruitment of students to the university.

Administrative: Analyze program needs through monitoring sport club attendance reports, budget reports and travel itineraries. Monitors team activity, registration and communication within the DoSportsRec software. Meets with the Sport Clubs Council Executive Board weekly, Sport Clubs Council bimonthly, and meets with individual club presidents on a monthly basis. Completes eligibility and enrollment verifications and assist with athlete admissions. Advises and supervises conflict resolution meetings within clubs, and among players, coaches and volunteers. Ensures all club recognition documents are turned in, to maintain University Recognition. Directly evaluate and sanction individuals or club as necessary for violations of the Student Code of Conduct and the Sport Clubs Handbook. Ensures the weekly sport clubs practice, game, event and travel schedules are complete. Supervise tournaments (local, regional and national) and youth camp programming when needed. Compiles and distributes the Sport Club Annual Report.

Biannually review and revise documents pertaining to the operation of the department and advise/communicate with the Matador Involvement Center, the University Student Union, the Department of Health and Human Development, Intercollegiate Athletics, Admissions and Records, University Advancement, Alumni Association, and any other campus entities on how changes in policy will impact the Sport Clubs Program.

Ensure all policies are being followed and create and develop new Sport Clubs Policies and Procedures to maintain consistency with campus policies, directives and CSU policies and executive orders for sport clubs. Institute the best practices set by the National Intramural and Recreational Sports Association. Assess and review policies to recommend revisions to the Sport Clubs Handbook. 

Develops new and maintains current collaborative relationships with the following entities: all Associated Students departments, Student Recreation Center, Office of Student Involvement and Development, the Matador Involvement Center staff, University Student Union, Department of Health and Human Development, Recreation and Tourism Management, Kinesiology, Intercollegiate Athletics, University Police Services, Alumni Association, Office of Development, Student Health Center, Risk Management and other departments as necessary in a manner that supports the integration and mission of Associated Students.

Maintain effective communication with other CSU and local UC and private school Sport Club administrators and Recreational Sports Departments.  Keep informed and communicate when necessary with the 25+ sport club national governing bodies.

Assist sport clubs with plans to recruit potential students to the university by communicating with University Outreach and ensure recruitment packages are ready for clubs to distribute.

Evaluate current operations in order to work towards meeting Associated Students sustainability guidelines.

Budget: Directs budget planning in the short term and long range, responsible for Sport Club Department Budget and oversight of Sport Club Athletic Training Budget, Sport Club Council Budget and oversees and advises individual club budgets ~$1.1 million annually. Monitors the approved budget and ensures adherence to budget guidelines. Advises Associated Students leadership on forecasting and future financial programming needs by recommending steps to adjust expenditures to compensate for revenue changes.  Directs the facilitation of fundraising, sponsorship, donations within the Associated Students and the Office of Development. Assists clubs with the use of the CSUN Funder application and Alumni Events. Ensures Sport Clubs teams are properly advised on program and budget planning and required deadlines.  Oversees collection of Sport Club Participant Pass. Ensures year-end results meet approved budget and advises the Sport Clubs Executive Board and individual clubs in the facilitation of effective budgeting. Supervises payroll, accounting reports, accurate submissions of expenditures and training of staff on payroll software. Seeks out alternative sponsorship and revenue generating opportunities within the campus and outside the CSUN community.

Human Resources: Direct recruiting, hiring, training, supervising and evaluating employees (4 professional staff, 30+ student assistants, 20 part time employee coaches, 33 FTE equivalents), 20 volunteer coaches and numerous other volunteers. In coordination with the AS HR Manager, develops job descriptions and training materials for sport club employees and volunteers. Periodically review and make changes to the Sport Club Policies and Procedures. Clearly communicates job responsibilities and expectations for employees. Ensure completion of performance evaluations of all students biannually, annually for full time staff and annually for Sport Club Coaches. Annually review and revise job descriptions. Regularly review discipline tracking and meet with individuals to correct behavior. Fosters a mentoring/advising relationship with all employees and volunteers and biannually assesses established learning outcomes.

Risk: Manages all aspects of risk for all sport clubs, club travel and facilities to include the review and updates of travel binders, creation of trip request forms and trainings of all involved according to risk management standards, executive orders and insurance carrier guidelines. Regularly meet with the Risk Management and Special Projects Coordinator and the Office of Risk Management to implement best practices, purchase secondary medical/liability insurance, and follow up with individual club members for application to use secondary medical insurance. Regularly updates and evaluates risk management/safety plan for program and establish risk management practices and assessments for staff and users in related program areas to reduce exposure to injuries and accidents.  Recommends changes in order to avoid reoccurrence of incidents. Ensures all risk managers and safety officers are well versed in risk related information. Alerts other University Recreation Departments of questionable or unsafe practices observed with their sport clubs. Stay abreast of current trends affecting Sport Club risk management and research new training methods for participant, volunteer and coach training and education. Ensure Sport Club participants take the annual training on hazing and safety policies through the Sport Clubs Pre-Recruitment Education Program (Sport Clubs PREP). Administer the annual Sport Clubs 101 Conference for 300-500 students each fall.

Facilities: Ensures the successful scheduling and use by all sport clubs within the Student Recreation Center, University Student Union, Kinesiology Fields, Redwood Hall, Castaic Lake and all other off campus sport club facilities, including the accurate scheduling of all on campus events, and maintaining contingency plans for inclement weather and other facility issues.

Ensures appropriate planned and preventive maintenance programs are designed, budgeted and conducted for all facilities under direction as well as inspections of all off campus regularly used facilities for practices and home games. Ensures regular walk through of the facilities are being conducted and inspections of all equipment to ensure safety standards and all are completed in a timely manner.

Ensures preparation of needed work orders are completed and submitted in a timely manner. Regularly meets with the Facilities Coordinators for the SRC and Health and Human Development. Supervise the review of inventory and management of assets and equipment.  Research and review necessary equipment purchases and work with facility operators to find appropriate storage as needed.

Training: Oversees the development of instructional seminars and provides training and educational sessions for employees, club members, officers, coaches and sport club council representatives as required by current law, Associated Students Human Resources, and in compliance with standards put forth by the National Intramural-Recreational Sports Association (NIRSA) and other industry guidelines. Directs and implements a comprehensive student development program for Sport Club student employees and student leaders of the sport clubs to include retreats. Verifies all employees are provided safety training and attend safety meetings regularly. Ensures coaches training and coach/instructor agreements are completed.

Marketing: Monitor and direct the design, implementation and evaluation of the marketing plan to promote the vision of the program to include the maintenance of program website, social media, and distribution of marketing materials to be viewed throughout the university and community.  Use these methods to recruit participants and develop campus awareness of and pride in sport club competition. Work with clubs to recruit students to the university, through programming and advertisement, including the annual Sports-a-Palooza recruiting fair. Oversee student volunteers and interns obtaining class credit while participating within the Matadors Sports Network.

And other duties as assigned.

QUALIFICATIONS

  • Minimum: Master’s Degree in recreation, sports administration, education or related field.  Equivalent of five years of experience in collegiate recreation, NCAA Athletics, High School Athletics or community recreation; knowledge and ability to organize; knowledge of the principles and practices of effective supervision; two years of experience supervising full time staff; working knowledge of the techniques necessary in coordinating the interests of students into an acceptable program; demonstrated knowledge of budgeting principles, risk management, ability to maintain good working relationships with others and campus colleagues; demonstrated ability to speak and write effectively. 
  • Program operations will include some nights, weekend hours and some travel between campus for attendance on location and advising. 
  • General knowledge of the principals and trends of the Student Services fields and policies and procedures of the program.

This position is employed through Associated Students (AS). AS offers an excellent benefits package including Medical, Dental & Vision insurance, Life Insurance, Vacation, Sick Leave, 14 paid Holidays, company sponsored retirement program and more.

The anticipated hiring range: $75,108.80 to $112,652.80 annually, dependent upon qualifications and experience.

HOURS: Full-Time, Exempt at 40 hours per week; schedule is generally Monday – Friday during business hours but periodically varies to accommodate working evening and weekend events.
