Position Summary

The University of New Mexico’s Office of Sponsored Projects (OSP) is looking for a motivated, detail-oriented self-starter individual for the role of Sr. Sponsored Projects Specialist (SSPS) to join our team of professionals. (In-State Remote work options available following probationary period).
OSP is a core office that provides administration, management, and oversight of the world class extramural sponsored research programs being conducted at our R1 Carnegie- designated University.

The SSPS is a transitional level position in our sponsored research office and supports one or more functional areas including, but not limited to: proposal review, approval, and submission; award acceptance and set up (including contracts and subcontracts) and regulatory compliance. This position is responsible for timely and effective assistance and guidance with the a) review and submission of proposals to various sponsored agencies or the b) review and set up of new awards and amendments to awards in accordance with university policies and OSP procedures, and the c) interpretation of State and Federal regulations and applicable sponsored agency policies. These policies include but are not limited to the OMB Uniform Guidance and Federal Acquisition Regulations.
The selected candidate will have the ability to demonstrate critical thinking, analysis, independent judgement, problem recognition, problem-solving, robust attention to detail, and keen organizational skills. A strong candidate will demonstrate the ability to effectively communicate with a variety of stakeholders in a positive tone using clear and concise messaging (in both oral and written communication) and operate with a sense of urgency, while assisting Principal Investigators with understanding compliance requirements and following applicable policies and procedures. The SSPS will report directly to the Proposal Team Supervisor.
As a Sr. Sponsored Projects Specialist on our team, you will:

  • Review proposals and budgets for compliance with sponsor policies, University policy, State and Federal regulations, including but not limited to 2CFR 200 Uniform Guidance.
  • Endorse on behalf of the University completed proposals and submit to extramural sponsors.
  • Review new awards and modifications to agreements for compliance with University policy, State and Federal regulations, including but not limited to 2CFR 200 Uniform Guidance.
  • Prepare, process, and finalize award set-up.
  • Navigate and utilize various electronic research portals to process various proposal and award actions.
  • Maintain knowledge of and interpret applicable policies, regulations and procedures from the University, State and Federal government, granting agencies, and various private foundations and industries.
  • Effectively communicate with and serve as a liaison between granting agencies, University administration, and Principal Investigators to resolve internal policy, solicitation or award-related concerns and issues.
  • Coordinate with compliance offices (e.g. Export Control (EC), Conflict of Interest (COI), Internal Review Board (IRB) to ensure PI meets the minimum requirements for sponsored project actions.
  • Contribute to continuous improvement of processes to maximize and streamline for efficiency and effectiveness.
  • Provide the highest level of customer service; and
  • Complete other duties or special projects as assigned.

During the Probationary period, new employees will be trained on-site; however, in coordination with their supervisors, new employees may have the option to enter into a remote or telecommuting agreement upon successful demonstration of completing workload actions according to standard operating procedures and maintaining consistency in production volume.

Conditions of Employment
Minimum Qualifications

Bachelor's degree; at least 1 year of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Experience:

  • Budget development/review and proposal review.
  • Experience administering projects funded by the National Science Foundation, National Institute for Health, Department of Defense, or Department of Energy.
  • Setting priorities, completing deadlines, and making administrative procedural decisions.
  • Coordinating with key departments and stakeholders to maintain positive working relationships.
  • Communicating with Principal Investigators to achieve goals, while maintaining compliance with applicable policies and following standard operating procedures
  • Work in a fast-paced, team-oriented, higher educational institution environment or similar.
  • Working with electronic research administration systems such as Streamlyne, Banner and MyReports.

Education:

  • BS/BA degree in Business, Public Administration, Legal Studies or another appropriate field.

Knowledge/Skills/ Abilities:

  • Knowledge and understanding of Federal, State and University regulations guidelines and policies as they relate to sponsored projects and public institutions.
  • Understanding of post award functions in a research university environment.
  • Skilled in time management and ability to use good business judgment.
  • Superb customer service skills, using independent judgement, in a team environment, including working with faculty, administrators, accountants, and external agencies.
  • Self-motivated with the ability to work both autonomously and as member of a team.
