Position Summary
Provide functional and clerical support for the laboratories of the Nursing, Radiologic Technology, and Respiratory Care programs. Prepare purchasing requests, assist in maintaining inventory of equipment and supplies, coordinate service and repairs to major equipment, help monitor hourly lab personnel schedules and facilitate time sheets process, track hourly lab personnel evaluations, and assist in preparing grant proposals including data required to assess lab usage.
Description of Duties
Laboratory Assistance
  • Assist Lab Faculty & Department Chairs with coordinating staff schedules.
  • Help monitor hourly lab personnel schedules.
  • Assist with timesheet review and payment process for hourly lab personnel. Notify the supervisor of any issue or discrepancy.
  • Serve as liaison for hourly staff resolving scheduling conflicts and keeping everyone updated on new policies, procedures, and equipment issues.
  • Respond to student and staff issues regarding supplies and facilities.
  • Coordinate service and repairs to major equipment.
  • Act as a liaison for general student inquiries about the laboratory.

Lab Equipment and Supplies Maintenance
  • Assist in maintaining equipment and supplies in all laboratories in the Health Science Institute.
  • Assist in keeping track of budget and expenses. Answer basic questions about equipment and supplies budget status,
  • Gather information about vendors for the administrator and department chairs based on price comparison, product quality, service, warranty, and return policies. Track orders to completion. Verify that shipments match purchase orders and invoices. Process invoices for payment.
  • Track and maintain accurate inventory for department equipment.
  • Provide clerical support for Department Chairs and Health Science Institute in the preparation of Perkins grant requests, requisitioning Perkins-funded items, and maintaining an inventory list of Perkins items’ current location.

Institute Support
  • Provide functional and clerical support for the Health Science Institute’s programs.
  • Collaborate and share information with other staff in the institute.
  • Provide direction and training to other staff as appropriate.
  • Perform clerical/secretarial duties including but not limited to;
    • Organize and maintain large or complex records and files.
    • Maintain electronic appointment calendars and coordinate meeting arrangements using technology.
    • Prepare documents frequently of a complex nature requiring detailed knowledge of institute/department procedures.
    • Distribute departmental mail.
    • Draft, edit, prepare, and distribute correspondence.
    • Take, prepare, and distribute department and institute meeting minutes as assigned.
    • Provide assistance to faculty, as appropriate.
Minimum Qualifications
Education:
  • Associate degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

Experience:
  • Two years prior experience in an office support position of similar responsibility is necessary.
  • Experience in an educational environment preferred.

Knowledge/Skills/Abilities:
  • Ability to work in a multi-project, fast-paced environment and meet concurrent deadlines.
  • Ability to work collaboratively and to address problems through teamwork.
  • Strong communication, interpersonal, and organizational skills.
  • Must be computer literate and able to utilize Microsoft Office at an intermediate level, as well as learn and utilize specific higher education programs and systems.
  • Ability to learn and apply office practices, procedures, policies, and regulations essential to the position.
  • Occasional evening and weekend work is required.
Preferred Qualifications & Special Considerations
Knowledge of Monmouth counties and its communities.
