POSITION SUMMARY

The Dallas College Facilities Management Department supports the facility needs for Dallas College while providing responsible stewardship and efficient operation of the College's physical assets. The Facilities Management Department is responsible for approximately 5,000,000 sq. ft. of physical space and over 1400 acres of land, located across multiple locations in Dallas County. The position of Shipping and Receiving Clerk supports this effort by ensuring shipping, receiving, and mail functions are processing at a high level across all Dallas College locations.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Able to prepare shipments for postal or commercial conveyance; determines most economical and efficient shipping method.

  • Demonstrate an ability to prepare routine administrative paperwork.

  • Able to inspect shipments for damages or defects; records discrepancies or damages and notifies supervisor and/or purchasing personnel.  

  • Able to work with coworkers and clients.

  • Must be able to correspond with representatives to rectify problems, such as damages and shortages.

  • Demonstrates knowledge of policies and procedures that affect clients and/or employees, applying them fairly and consistently; ensures compliance with local, state, and federal laws and regulations; and applies best practices that are in direct support of the overall vision, mission, and goals of the college.  

  • Able to gather, compile, and analyze data/information and prepare reports as requested.

  • Detail oriented with the ability to manage multiple assignments and projects, create detailed actions plans, as well as the ability to adapt to changing priorities, deadlines, and directions. 

  • Demonstrate positive working relationships with colleagues and clients. 


KEY AND RESPONSIBILITIES           

  • Coordinate's disposal of excess/damaged property and files required paperwork with District Financial Office to delete disposed property from inventory file.

  • Receives and unloads incoming materials and compares information on packing slip with purchase order to verify accuracy of shipment; may process return shipments from customers.

  • Conducts monthly and annual inspections of college facilities to identify and verify the location of capital equipment and assure accuracy of inventory records.

  • Plan and conduct daily operational activities of the department to include but not limited to maintain, file, verify, track, and update new acquisitions, transfers, modifications, and dispositions from beginning to completion for all fixed assets.

  • Performs extensive data input to establish capital equipment on the college-wide acquisition list.

  • Ensures that the shipping and receiving department provides the highest quality customer service across all Dallas College locations.

  • Ensures that College mail and shipping orders are processed in an efficient manner across all Dallas College locations.

  • Ensures distribution of packages and mail in a timely manner. 

  • Works with other facilities teammates to ensure the highest level of customer service and assist other facilities management teams as required.

  • Completes required Dallas College Professional Development training hours per academic year.

  • Performs other duties as assigned. 

PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is occasionally required to push, lift, squat or stoop, bend and twist the body while performing essential duties. The employee must have the ability to occasionally lift and/or move up to 75 pounds.  Requires in-person interaction and coordination of work with other employees, students, external clients, partners or customers and/or immediate access to equipment, documents, or other information located only in a College workspace.  Reasonable accommodations may be made to individuals with physical challenges to perform the essential duties and responsibilities.

MINIMUM QUALIFICATIONS

  • High School Diploma plus three (3) years of related experience. 

  • Must be proficient in computer skills.

  • Ability to work extended hours beyond the regular 8:00 am to 5:00 pm workday including nights and weekends.

  • Current and valid Texas driver’s license required for offsite travel.

  • Bilingual preferred.
