NTID Office of the President -- RIT VP/Dean


Job Summary

This position provides confidential, high level administrative support for the NTID Office of the President.  This requires planning and implementation of tasks as directed by the Executive Assistant to the President.  Support would also include work for the Associate Vice President for NTID Administration and the Assistant Vice President for NTID Finance and Budget.  This requires a high level of confidentiality, tact, discretion, attention to detail, follow through, communication ability, organization skills, and exemplary customer service.


Job Responsibilities

Provides high-level confidential administrative support to the NTID President, Associate VP of Administration, and Executive Assistant to the NTID President & Office Manager.  This includes:

  • Confidential calendar management
  • Schedules travel, both national and international, for the NTID President, the Associate VP of Administration and others in the NTID office of the President. This includes all aspects of the travel – registrations, flights, hotel, interpreters, and reconciling trip expenses.
  • Prepares power points or other kinds of documentation. 
  • Assists with the external support to National organizations.  This entails preparing the sponsorship letters, collecting necessary accounting forms, processing of payments and keeping a detailed record of the transactions.
  • Reconciles the NTID Administration budget.  This requires reviewing monthly reports, balancing lines, preparing PCMs, processing journal entries, and ensuring all receipts are submitted with proper amounts and documentation.
  • Reconciles monthly Pro-card for the President’s office. Ensures all receipts are submitted to Accounting along with necessary documentation.
  • EMS coordinator.
  • Assists with the NTID Graduation. This may include attending bi-monthly meetings with the Executive Assistant and other RIT representatives, and handling any other details as needed to ensure that the day is a memorable one for students and parents.
  • Assists with other NTID events as needed, including Imagine RIT. Back up to the NTID Executive Assistant, Financial Coordinator, and Program/Event Coordinator.
  • Other duties as assigned.

Required Qualifications

Education/Experience;

  • AS degree or equivalent experience
  • Five to seven years experience in an administrative position

Skills:

  • Flexibility to work independently and be a member of the team
  • Ability to manage multiple projects simultaneously and work in dynamic environment
  • Outstanding interpersonal and customer service skills
  • Excellent verbal and written communication skills
  • Intermediate to advanced use of Microsoft Word, Excel, Power Point and Outlook
  • Ability to problem solve
  • Ability to maintain confidentiality
  • Strong attention to detail
  • Demonstrated experience establishing and monitoring work flow processes
  • Event planning skills
  • Communication in American Sign Language or the willingness to take NTID ASL classes to learn.

Preferred Qualifications

Higher Ed experience preferred
