About the Role

The Sr. Program Coordinator for Scheduling, Professional Schools reports to the Associate Registrar for Classroom Management and Curriculum and supports colleagues in the Enrollment and Student Administration by actively planning, managing, and evaluating the academic classroom scheduling processes of the University for the Chobanian & Avedisian School of Medicine (CAMED), and the Law and Dental professional schools.  This role will have a presence both on the Charles River and Medical Campuses, and will be expected to spend part of the week at each location.  The Sr. Program Coordinator works collaboratively with Provosts, Deans, Associate Deans, the Medical Education Office (MEO), registrars, faculty, and staff in all dimensions of classroom management and academic scheduling to ensure that classrooms and classroom assignments meet the pedagogical needs of faculty and the learning needs of students. The Sr. Program Coordinator trains academic schedulers, supports their processes with an up-to-date website with resources, online forms, and deadlines, assists the schedulers across the campus with exception processes and special requests, and makes recommendations for policy updates.  A member of a small team serving all Boston University locations, the Sr. Program Coordinator also assists with responding to web forms submitted and responding to emergency situations.

The Senior Program Coordinator works relatively independently but may seek assistance for complex tasks. They are expected to set priorities in consultation with others and to maintain confidentiality of information. 

The Senior Program Coordinator’s primary duties include:

  • Scheduling CAMED academic classes each semester and supports the transition to the new Student Information System. This will include trouble shooting technical and human errors, working in conjunction with Information Technology and Enrollment Services Operations to ensure that the software is working as expected and communicating with the student information system; 
  • Supporting Law and Dental Schools in scheduling academic classes each semester and serves as a resource for their administrators
  • Running reports and queries, and shares information.  Reports on patterns of needs and proposes solutions;
  • Reviewing space requests in the 25Live space reservation system for Registrar-controlled rooms and appropriately uses policy to maintain class-related events in these spaces;
  • Training for new employees and refresher training for all employees as requested in conjunction with other members of scheduling team.

About the Organization

The Office of the University Registrar is part of the Enrollment & Student Administration unit (ENSA). It supports the instructional and student progress endeavors of Boston University by providing quality services to students, faculty, academic and administrative departments, and the public. We supervise registration and the evaluation of transfer credit, maintain student academic records and record grades, issue transcripts, verify enrollment and graduation, issue diplomas, assign classrooms, produce the class schedule, schedule final examinations, and oversee production of the Bulletin and the Degree Advice system.
