Position Summary

The University of Southern Indiana is accepting applications for Senior Program Associate.

Coordinate and implement the Basic Orientation Plus (BOP), Basic Orientation Plus Refresher (BOP-R) and computer-based testing (CBT) programs while maintaining confidentiality. Ensure daily activities comply with the audit standards of the Association of Reciprocal Safety Councils (ARSC) and the guidelines of the Tri-State Industrial Safety Council (TSISC). Provide customer service to these and other lifelong learning and outreach (non-credit) programs.

Duties/Responsibilities 

Coordinate and implement daily BOP, BOP-R and CBT programs:

- Know and ensure daily activities comply with the audit standards of the Association of Reciprocal Safety Councils (ARSC) and the guidelines of the Tri-State Industrial Safety Council (TSISC).

- Prepare BOP materials and supplies for each class session.

- Review all BOP, BOP-R and CBT rosters to verify eligibility for course participation.

- Ensure that equipment, materials and appropriate set-up are delivered, and that proper security is in place for both the instructor-based and computer-based programs.

- Check in participants, including verifying identification.

- Primary back-up to proctor the computer-based program, as needed.

- Photograph, prepare and print badges.

- Answer all participant questions and concerns.

- Represent the University to those attending and instructing the BOP program.

- Sign out test materials, collect, score and record results of completed tests for permanent file.

- Primary back-up to perform Read Assist as requested by program participants.

- Upload to TSISC website a record of those who successfully completed the program.

- Reconcile rosters and resolve attendance issues.

- Return and secure unused materials.

- Secure and transport equipment including digital camera, laptop computer, badge printer, etc.

- On a weekly basis, conduct the Final Report of classes from six weeks earlier.

- Answers phone and responds to emails as part of team:
• Respond to inquiries including in-person customer service; forward to appropriate areas when necessary.
• Process and maintain accurate lifelong learning and outreach (non-credit) program enrollments and payments into registration database; as needed produce appropriate reports and/or confirmation letters, and mail/email as appropriate, while maintaining security of customers’ data.

- As needed, provide assistance for other lifelong learning and outreach programs under the direction of the Director, College Achievement Program and Lifelong Learning, such as, but not limited to, materials preparation, data entry and internet research.

- Assist Lifelong Learning Coordinator with preparation for annual internal and biannual external program audits, including daily activities to assure accuracy and security of BOP records.

- Inform Office Manager when supplies are needed.

- Primary back-up to update course schedule on the TSISC website.

- Primary back-up to process group payment authorization requests with companies and local labor unions.

- Secondary back-up for processing invoices for public programs and occasional specialty programs: review registrations, commit to invoice, process and forward to fiscal manager for approval in order to send to Business Office.

- Receive cash for non-credit registration fees occasionally, while maintaining security of funds.

- Other duties as assigned.

Required Knowledge and Skills

  • Two years of related experience required.
  • High level of responsibility and dependability a must.
  • Strong computer skills and proficiency with Microsoft Office products or similar word processing, spreadsheet, database and email software required.
  • Must be able to deal effectively with customers at all levels, including those whose attendance is mandated by their company but not desirable to them.
  • Self-starter able to carry through projects with minimal supervision.
  • Effective listening skills suitable for telephone and in-person interaction and excellent oral and written communication skills, suitable for group instructions and for one-to-one customer service and instructional interactions, required.
  • Must have a valid driver’s license—or alternate means of facilitating local travel, either alone or with others, to multiple locations in the Tri-State area, at times within tight timeframes and always with timeliness critical—for BOP program delivery.
  • Ability to work flexible hours including some nights and weekends.

Preferred Knowledge and Skills

  • Bachelor’s degree or some college coursework preferred.

Regular Work Hours/Travel Requirements


  • Standard work hours are Mondays, 10:00 a.m. to 6:30 p.m.; Tuesdays through Fridays, 7:00 a.m. to 3:30 p.m.; and one Saturday each month 7:00 a.m. to 3:30 p.m.
  • Occasional extended or irregular hours may be necessary to meet deadlines or support programs.
  • Occasional travel to off-campus course sites required.
