Job-Specific Responsibilities

Harvard's Financial Administration Department (FAD) is responsible for the stewardship of the University’s finances, including related business processes and technology. FAD is dedicated to supporting the teaching and research mission of the University by providing outstanding financial services to the Harvard community; by providing support, guidance and consultation; by working to ensure compliance with University and federal guidelines; by mitigating risk; and by promoting the financial health of the University.


Strategic Procurement is a department within Financial Administration (FAD) at Harvard University that assists the University community in obtaining the best quality and value for the goods and services purchased from third party vendor relationships by leveraging vendor spend and relationships across the University in support of identifying and reducing total costs; sourcing and procuring quality goods and services in support of superior service and growth; and establishing business partnerships and contracts with preferred vendors and contract vendors.

Reporting to the Supervisor, P2P Payments, the Sr. Payment Processing  Analyst is responsible for performing a variety of administrative and financial support duties related to coordinating and processing Accounts Payable-related payments and expediting of non-standard and specialty items within Accounts Payable (AP) Operations.

This position manages and runs payment files out of Harvard’s ERP, Oracle, ensuring payments successfully reach suppliers.

The role is also a key team player coordinating with other members in the AP Operations, Cash Management (Treasury) and HUIT (Information Technology) groups.

Specific responsibilities include:

  • Coordinate, maintain, troubleshoot invoice payment processing
  • Prioritization and expediting of non-standard exception items, such as:
    • Special Handling/Emergencies
    • Utility payment requests
    • Wire transfers and draft requests
    • Establish priority for invoices eligible for Early Payment Discounts
  • Provide coverage for fellow team AP Operations members
  • Manage processing of both paper check and electronic payments, such as:
    • Payment reconciliation
    • Releasing of payment files to the bank
    • Zelle (Digital Disbursements) electronic payments to individuals
    • Special Handling
    • Accounts Receivable
    • Travel
    • Stop/Reversal/Voiding of Checks in coordination with Cash Management team members
    • Manual payment posting of Wires, Drafts
    • Void/Repost/Cancelation of Wires, Drafts
    • Post and analyze State of Massachusetts DOR withholding, 1042s withholding in coordination with Tax team
    • Utilities payments and reconciliation
  • Work in dual systems throughout B2P system implementation (Oracle and Buy-to-Pay/B2P) remaining diligent and aware of potential duplicate payments, discrepancies between systems
  • Assist and partner with colleagues on special projects as needed
  • Run related reports for daily prioritization, including within banking software, CashPro
  • Other job-related duties as required.

Basic Qualifications

Basic Qualifications are the minimum threshold a candidate must meet in order to be considered for this role.

  • Associates degree, or 5+ years related financial and/or business experience required
  • Experience with desktop computers and web applications

Working Conditions

  • Must be able to travel to all University locations (i.e. Longwood Medical campus)

Interview and onboarding activity for this position may be conducted via telephone & Zoom video conferencing, based on the department’s current presence on campus.

Harvard is an on-campus community and all positions are based in Massachusetts. We currently expect that employees in FAD will work remotely through Fall 2021. Effective October 1st, as a condition of continued employment, all work must be performed in a state where Harvard is registered to do business (CA, CT, MA, MD, ME, NH, NY, RI, VT). 

FAD is currently developing hybrid workplace models which actively support remote work (within a Harvard registered state) where business and team needs allow. Any remote scheduling of your work, agreed to by your supervisor, will need to be in a state in which Harvard is registered as an employer as a condition of continued employment.  Individual flexible and remote work options for this role will may discussed during the interview process.
