Senior Patient Coordinator

Creighton University School of Dentistry Dental Clinic Pediatric/Orthodontic team is seeking a Senior Patient Coordinator who is an empathetic, flexible, customer service driven individua. 

 

The Senior Patient Coordinator is a 12-month, full-time, benefit eligible position.  The work schedule is generally 7:30 am to 4:30 pm, Monday - Friday.

 

The sole and primary contact, liaison, and resource for the Pediatric/Orthodontic clinic for patients, students, faculty and staff. Liaison from the department chair to the Pediatric and Orthodontic faculty and dental students. Reviews and maintain patients’ schedules and ensures insurance and cash payments are received from patients. Greets and checks in over 500 patients on a weekly basis. Schedules new and existing patients and conduct reminder calls for all patients. Customer service includes screening and prioritizing patient phone calls, using judgment to assess symptoms or concerns to determine where patients should be scheduled in the clinic. Communicate with patients, students, faculty and other staff to ensure that patient/student concerns are properly resolved in accordance with the school’s quality of care and customer service standards.  The SOD clinic services over 50,000 patient visits annually and are comprised of 460 students, 100 full-time, and 70 part-time faculty. 

 


Essential Functions:

Primary and sole contact for the Pediatric/Orthodontic clinic. Responsible for scheduling appointments using Dental School software (Axium) which includes extensive telephone and interpersonal communication with both patients and students. This requires knowledge of dental clinic scheduling policies and procedures and dental terminology. Customer service includes screening and prioritizing patient phone calls and using judgment to access patient symptoms or concerns to determine if patient should be seen by their dental students or in the Acute Care. Communicates with patients, students, faculty, and other staff to ensure that any patient or student concerns are properly resolved in accordance with the school’s quality of care and customer service standards. Coordinate patient care with students and faculty. Counsel and advice students on clinic policies and procedures.

 

Greet and checks in over 500 patients on a weekly basis. Assists patients ensuring the proper registration forms are completed correctly. Inputs patient demographic and medical history information into the computer system. Creates new patient records as necessary. Ensures insurance and cash payments are received from patients and works in coordination with the Finance department to ensure patient accounts balance.

 

Manage new patient phone calls by creating new accounts and determining, based on patient chief complaint, if they should be scheduled in the Acute Care Clinic, or in the new patient Assessment Clinic.  Communicate to patients the process and costs of becoming a patient at the dental school. Fields telephone calls and answer frequently asked questions about the Creighton Dental clinic. Determine appropriate course of action per patient request and transfer calls, page students and faculty as necessary. Check voice mails and handle messages as appropriate.

 

Audit patient records to ensure accurate coding and compliancy. Work with Records Management to resolve documentation issues.

 

Ensure students’ block rotation is accurate within the Pediatric/Orthodontic clinic and resolve issues pertaining to efficient student coverage.

 


Qualifications
  • High school diploma or equivalent
  • 2-4 years of electronic patient scheduling preferred
  • Dental experience preferred.
  • Bilingual, Spanish preferred but all applicants will be considered.
