The mission of the Department of Family & Community Medicine (DFCM) is to improve health through excellence and innovation in patient care, education, research, advocacy, and community empowerment. We are dedicated to building a just and equitable society, recognizing that health and illness are shaped by the contexts of people's lives. DFCM is engaged in research, teaching, training, service and clinical activities located at seven primary UCSF and leased sites in San Francisco. In addition to the Department's Family Medicine Residency Program located at ZSFG, the Department has affiliated residency programs in Fresno, Salinas, Santa Rosa, Kaiser Vallejo, Santa Rosa, and Contra Costa Health Systems. DFCM is nationally recognized for our pioneering research programs in primary care and community health. The DFCM has a large teaching, research, and clinical set of programs and activities based at Zuckerberg San Francisco General Hospital where this position is based and represents more than half of all the activities for DFCM as a whole.
The ZSFG Senior Operations Analyst is a unique and important position within the department. The incumbent will be a unifying point of contact for our many programs, and they will be essential to creating a welcoming, professional environment. This position is based at ZSFG, where more than half of all of DFCM's activities are located, including the FCM Residency Program, the Center Excellence in Primary Care (CEPC), the Family Health Center (FHC), the Adult Urgent Care Center (UCC), the Family Medicine Inpatient Service (FMIS), the Skilled Nursing Facility (SNF), the Person-Centered Reproductive Health Program, the National Clinicians Consultation Center, and the offices of the Chair, Vice Chairs, Chief of Service, and administrative staff.
The Senior Operations Analyst is responsible for the handling the critical administrative and operational functions that support our diverse, high-performing department at ZSFG, including the following day-to-day and medium to long-term projects:

  • Liaises with central UCSF and ZSFG departments including Facilities, Supply Chain Management, Human Resources (HR), and IT Service Desks to provide high level administrative support benefiting the patients, clients, ensure adequate central department support for diverse units and teams based at ZSFG, and dissemination of related UCSF communications
  • Provide project management for special projects as assigned by the FCM-ZSFG Operations Manager and FCM ZSFG Chief of Service that support the research, clinical, teaching, and public service activities of FCM-ZSFG. Special projects may include office space, implementation of technology solutions, onboarding, team building, and cross-team collaborations.
  • Primary support and lead for timely completion of HR, and related central department service tickets utilizing UCSF and/or SF DPH Business Applications, as appropriate; including training team members in business operations
  • Primary support and lead for the purchase of goods and services utilizing UCSF e-Procurement and reimbursement systems. Oversight of inventory and supply of equipment and materials
  • Lead teams of diverse, multi-disciplinary staff in implementing projects, initiatives, new workflows, and related change management of efficiencies and improvements in administrative and operational activities
  • Serves as back-up support for ZSFG Medical Staff privileges and credentialing for all providers
The Operations Analyst is also involved in unit- and department-level event planning, helping to facilitate the administrative and financial aspects of the events. Other duties and special projects may be assigned.
  • Support and facilitate recruitment, onboarding, and orientation of community-based UCSF affiliates, volunteers, interns, and observers, in collaboration with relevant faculty, staff, PI, Chief of Service, medical directors, and/or Operations & Finance Manager. The incumbent supports recruitment, training, onboarding, and management of individuals' needs (supplies, computer requests, IT, phone, etc.) in connection with onboarding/office moves etc, ensuring adequate ongoing support, as needed. Programs include summer interns and health care pipeline programs, including the FHC Scholars Program;
  • Participate in departmental committees, workgroups, taskforces, either as a member and/or administrative, programmatic, and/or analytical support;
  • Support strategic planning, implementation, and allocation of equipment, facilities, vendor contracts, professional services agreements, and space. Assist with the planning, transition, and/or implementation of office space projects and related improvements;
  • Support development of plans for space allocation, re-assignment and new options. Support space allocation, utilization, and reporting requirements, facilitating optimization of space and sustainable hybrid remote/onsite work environments;
  • Participate in developing, implementing, and managing effective workflows, processes, and/or strategies for recharges, financial, personnel, material management, and space administration to create and maintain efficient, effective administration and operations; disseminate information related to administration and operations to FCM ZSFG, following up as appropriate to facilitate compliance;
  • Leverage in-depth knowledge and expertise to provide guidance to members of FCM-ZSFG leadership, supervisors, and staff on matters related to onboarding, finance/budgeting, procurement, professional services contracting, and related services policies and procedures; and
  • Provide support for and facilitate implementation of compliance programs for department, UCSF SOM, ZSFG Vice Dean, and City & County of San Francisco, Department of Public Health/DPH and Community Health Network/CHN) policies and procedures to ensure appropriate management of resources, activities and administration.

The final salary and offer components are subject to additional approvals based on UC policy.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.
