Job Description Summary:
The George Washington University Department of Classical and Near Eastern Languages and Civilizations (CNELC) is part of an intellectual community comprised of more than 10 full-time faculty with varied research and teaching interests, as well as undergraduate students, associates, and friends. Offering Greek, Latin, Hebrew, Arabic, Persian, and Uyghur, as well as courses in ancient history and civilizations and the modern Middle East, the department prides itself on a unique configuration and blend of professors focused on both research and teaching. The department is seeking to fill the position of Senior Office Assistant.
This position assists and reports to the Department Operations Manager, and works closely with the Department Chair, Program Coordinator, and faculty, providing administrative support.
Duties and Responsibilities:
  • Works as day to day support staff with the Department Chair and assists the Department Operations Manager and Coordinator as needed to support CNELC faculty and operations.
  • Acts as the first point of contact for the department and responds to in-person, email, and phone inquiries from prospective and current students, faculty, staff, and visitors daily.
  • Assists the Department Operations Manager with faculty onboarding and offboarding processes.
  • Supervises CNELC Department language tutors, initiates tutor hire paperwork, conducts new tutor orientation, manages tutoring schedule, and monitors and approves timecards.
  • Performs a variety of routine clerical tasks such as updating spreadsheets, photocopying, typing, filing, and preparing documents for archives, distributing and preparing mail and packages, maintaining department directories and email listservs, and drafting correspondence, reports, tables, forms and other necessary documents.
  • Acts as primary web administrator for the CNELC Department and updates faculty bios.
  • Assists the Department Chair, Department Operations Manager, and other faculty with preparing departmental academic schedules and submitting CourseLeaf and Bulletin changes.
  • Assists with collecting and analyzing data for departmental evaluations and assessments.
  • Reviews faculty syllabi.
  • With the Department Chair, coordinates submission of faculty contract renewal, promotion, and tenure dossiers.
  • Proctors makeup assessments (exams).
  • Assists faculty, students, and others in completion of relevant paperwork for reimbursements of procurement and travel in the Concur system or via payment requests.
  • Orders all supplies and equipment, keeps records of all orders, and provides general office support to faculty and students, including minor IT troubleshooting.
  • Initiates work requests for repairs and maintenance, maintains keys, and initiates requests for keys.
  • In conjunction with the Department Chair, Department Operations Manager and Coordinator, assists with planning and coordinating meetings and events (colloquia, receptions, orientations, presentations, job visits, and lectures). Assists with making arrangements with facilities, venues, and vendors, ordering supplies, materials, and catering, verifying all aspects of the event are on schedule, making reservations for travel and lodging for guests or job candidates, and setting up and taking down equipment.
  • Assists with advertising departmental events and news by posting on social media and designing and distributing fliers.
  • Assists with bulletin boards, including posting faculty office hours and maintaining the faculty photo board.
  • Assists the Department Chair with all aspects of preparing department newsletters.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 1.5 years of relevant professional experience, or, a Bachelor’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
