Job Summary:

Directs the daily operations of a large or multiple-academic, research departments, or organizational units. Directs all facets and phases of financial and administrative management in collaboration with the department head. Responsible for the design, execution, and effectiveness of a system of internal controls which provides reasonable assurance that department operations are effective and efficient, department assets are safeguarded, departmental financial information is reliable, and the department complies with applicable laws, regulations, policies, and procedures.

 

Job Duties:

  • Directly manages and maintains the Centers all-funds budget, including financial planning efforts with an emphasis on executing strategic initiatives.  Coordinate the compilation of and prepare operational and financial reports and analyses setting forth progress, adverse trends and appropriate recommendations or conclusions. 
  • Oversees the Center’s use of space, including assignment, ensuring efficiency use, maintenance, and coordination of renovations.
  • Provides administrative leadership and works in partnership with Research Administration Services Center for all extramural research processes, including clinical trials, grant submissions and post award activities.  Serves as point of contact for principal investigators’ business and administrative needs.
  • Oversees the Center’s clinical revenue cycle functions, including identifying issues and solutions to optimize charge capture, lag, coding accuracy, initial denials, and controllable write offs.
  • Serves as the senior most non-faculty administrator for the Center.  Serves as point of contact for all staff related issues and transactions, including management of all personnel transactions and justifications.  Manages and sets/adjusts rates of pay and hours of work.  Manages complaints and grievances and discipline when necessary.  Develops, communicates, and manages productivity standards, goals, and expectations for center staff.  Oversees staff on-boarding, including training, access, schedules, culture integration, etc.  Manages employee development and retention by effectively leading, motivating, and mentoring center/clinical personnel.
  • Oversees all details related to contract management, including negotiations, deliverables, invoicing, accounts receivable, reporting, and operations.
  • Oversees the development and execution of clinical, research, educational and administrative strategic planning initiatives, including alignment with LSOM and Institutional priorities.
  • Provide administrative direction and coordination in the formulation, interpretation and administration of current and long-range policies, procedures, and programs.  Oversees all non-salary transactions, capital expenditures, following all procurement policies and procedures.  Manages and tracks all details related to LSOM and Institutional commitments to the Center, including reporting on deliverables and invoicing.
  • Serves as the point of contact for all faculty related business and administrative processes and transactions and supports promotion and tenure processes.  In concert with the Center’s Executive Director, develops, presents, and manages the Center’s faculty compensation plans, faculty assignments and deployment.  Develops, presents, and maintains faculty productivity and efficiency reports across all missions.  Oversees faculty on-boarding procedures, including credentialing, privileging payer enrollment, access, schedules, and culture integration, etc.
  • Services as the point of contact and works in partnership with Central Support Centers for all business and administrative functions for the Center, including financial, business operations, clinical revenue cycle monitoring, staff management, faculty administration, legal issues, contract management, regulatory issues, internal and external audits, procurement processes, space management, grant management, information technology, etc.  Develops and maintains productive relationships with all levels of administration, faculty, and outside organizations to coordinate center business, accomplish directives, and facilitate the resolution of issues. Works collaboratively with the center/departmental leaders to assess productivity and efficiency of operations for the purpose of ensuring performance and achievement of goals (i.e., departmental workflow, laboratory/programmatic operations, faculty productivity, etc.) 
  • Performs all other duties as assigned.

    Education:

    Master's degree in Healthcare Administration, Business Administration, Finance or Accounting is required.

     

    Experience:

    Ten (10) years of accounting or related business experience to include seven (7) years of supervisory experience is required.

     

    Supervisory Requirements:

    Has the authority to direct the work of others, hire or fire employees, or provide recommendations as to the hiring, firing, advancement, promotion or any other change of status of other employee.
