As a part of the donor relations and events unit, we assist in building and enhancing relationships with donors by creating meaningful experiences and reporting that display gratitude and demonstrates the impact of private support. The senior coordinator provides support to the donor relations and events unit.

Core Responsibilities include but are not limited to:

  • Serve as primary point of contact for all communications with the donor relations and events team. Lead the unit’s office management and operations.
  • Provide day-to-day administrative and special project support to the senior director of donor relations and events and the director of donor relations.
  • Supervise office support staff. Handle personnel matters: hire, train, coach/mentor, supervise and evaluate, providing formal written feedback twice a year and conduct regular check-ins with staff.
  • Actively participate in donor strategy planning and execution with a focus on donor experience.
  • Support donor relations and events team members with expense submissions, budget tracking, occasional travel planning and calendar support as needed.
  • Oversee the process for tracking, monitoring, and communicating budget expenditures; review planned/future expenditures; reconcile monthly budget reports with expenditures and process invoices.
  • Oversee the documentation of engagement touches produced or coordinated by the donor relations and events unit and ensure donor information is imaged in the electronic filing system.
  • Assist with project intake and organize tasks in project management system. Ensure that donor relations and events projects are captured within the system and stay on track to meet deadlines.
  • Assist with the management of committees, awards celebration planning, and reporting processes. This may include taking meeting minutes, drafting communications, itinerary coordination, and collaborating with internal and external partners.

Qualifications

Minimum Experience

  • 7 years of work experience related to employment area. Education may be substituted for years of work experience.
  • Experience managing staff is required.

Desired Skills & Experience

  • Strong communication skills (both written and verbal); professional judgment, organizational planning, diplomacy, and professionalism.
  • Must be able to handle a number of activities simultaneously with attention to detail and adherence to deadlines and accuracy.
  • Must be proficient in Microsoft Office Suite, specifically Excel and Outlook, with ability to analyze large amounts of data.
  • Experience with oversight and tracking of budgets.
  • Ability to work effectively as a member of a team. Must be adaptable, flexible, and self-directed.
  • Experience with or ability to learn computer systems, specifically Workfront and Ascend/Salesforce.
  • Strong customer service skills.
  • Must adhere to strict confidentiality standards.
  • Creativity, patience, a sense of humor and a belief in our organizational mission of: Aligning donor passion and generosity to advance Iowa State University’s land grant ideals.

Travel: Some local travel
