Senior Administrative Program Coordinator
Earth and Environmental Sciences
Location:  New Orleans, LA
Summary
The Senior Administrative Program Coordinator performs advanced level administrative and project assistance in support of the success of the Department Chair and the mission of Earth & Environmental Sciences. The Senior Program Coordinator also directly supports department faculty, PhD/MS graduate students and undergraduate students (majors/minors of the department) and associated staff.
The Senior Administrative Program Coordinator manages day-to-day operations including reception as the point of contact for all department matters, inventory of supplies and ordering, and event planning. This position requires discretion, independent judgement, and an in-depth comprehension of the department, its programs, and ensures compliance with departmental and university policies and procedures.
This position must be pro-active, well-organized, and able to manage competing priorities. Manages and supervises the graduate student application process, maintains the department website and related activities. The Senior Administrative Program Coordinator manages, organizes, delegates, and provides logistical support for seminars, conferences, and events. Coordinates the scheduling of all departmental courses. This position also mentors/trains new staff. Acts as liaison and works closely with other University administrative units. Supervises department student workers/interns.
Required Knowledge, Skills, and Abilities
• Ability to prioritize work with an attention to detail, exercise discretion, maintain confidentiality and integrity in the performance of all duties
• Demonstrate flexibility and initiative with the ability to work independently as well as on a team and successfully meet deadlines
• Strong verbal and written communication skills
• Proficient computer skills with knowledge of software applications applicable to the responsibilities of the position
• Ability to work on multiple projects simultaneously and coordinate and organize events within allotted budget
• Demonstrates the ability to work effectively with persons of diverse backgrounds/education/nationality and cultural backgrounds including BIPOC, LGBTQ, first generation students, and others from underrepresented groups
• Ability to develop positive, professional relationships which enhance the ability to achieve results and expected outcomes
• Ability to work effectively with all levels of faculty, staff, and administration within the University as well as external contacts including alumni, parents, and vendors
• Ability to supervise and delegate tasks of student workers, interns and others
• Ability to work professionally, courteously, and effectively with internal and external groups maintaining cooperative working relationships
SPECIAL REQUIRED ABILITY FOR INCUMBENTS WHO HAVE CONTACT OR EXPOSURE TO ANIMALS OR ANIMAL TISSUES:
Ability to complete and pass successfully the required occupational health screening referenced in the University’s Animal Handler Health Surveillance Program on an annual basis.
REQUIRED BACKGROUND CHECK, PHYSICAL, AND DRUG SCREENING FOR INCUMBENTS WHO HAVE CONTACT OR EXPOSURE TO ANIMALS OR ANIMAL TISSUES:
Selected candidates must complete and pass a background check and an occupational health screening as a condition of employment. For identified jobs, a drug screening will also be required. The background investigation, required occupational health screening, and any required drug screening will be conducted after a conditional employment offer has been extended.
Required Education and/or Experience
• High School Diploma or equivalent and three years of relevant experience
Preferred Qualifications
• Bachelor’s degree or higher preferred; or equivalent combination of education and experience
• Five years of related administrative experience
• Work experience in a university environment or related office experience
• Familiarity with CONCUR, Kronos, CourseLeaf and other programs used at Tulane
• Ability to adapt to a changing environment and handle multiple priorities
Compensation Information
This position is classified as "non-exempt, hourly" and is assigned to pay grade 24.
