Seed Lab Administrative Coordinator

Job Summary

The Office of Indiana State Chemist (OISC) is seeking a motivated, organized and customer focused individual with experience in office administration to join our team. We are a state regulatory agency responsible for administering agricultural laws involving seeds, pesticides, animal feeds and fertilizers; with the goal of ensuring truth in labeling, food and user safety and environmental protection.

 

This position reports to the Indiana State Seed Administrator and the person in this role will be responsible for managing several processes within the OISC seed lab. Direct communication both written and verbal with licensed seedsman, seed retail locations, outside state and federal agencies and OISC team members occurs daily.

What You'll Be Doing:
  • Enter details of regulatory and service samples into lab database and prepare lab worksheets
  • Review seed labels and identify any technical violations
  • Manage seed permits, including seedsman identification, database entry, communication and tracking
  • Manage sample violations, including identification, database entry, communication and tracking
  • Manage stop sales, including database entry and appropriate communication based on reason for the stop sale
  • Generate, perform quality check and distribute Report of Analysis (ROA) for completed regulatory and service samples
  • Manage the microorganism product registration process, including label review, database entry, and communications on a daily basis and throughout the renewal season
  • Manage billing and invoicing of service sample testing and microorganism product registrations, including fee assessment, posting payments, weekly and monthly ledger balancing and customer communication
  • Manage INDOT case reviews, including review of seed mixes, approval, documentation and communication with vendors
  • Manage lab supply inventory, including basic office supplies to specialized supplies and equipment required for completion of lab testing.
  • Remain familiar with federal and state seed laws, rules and regulations as well as Association of Official Seed Analysts (AOSA) Rules, to provide exceptional service and education to our customers, helping them to achieve and maintain compliance
  • Coordinate and communicate with all parties necessary to effectively manage seed lab processes, including the seed lab director, lab analysts, other OISC staff members, vendors, Purdue University purchasing, customers and other external state and federal agencies
  • Remain familiar with other program areas within OISC and maintain relationships with other program staff members to assist customers effectively and understand the role and position of the seed lab within the OISC agency
  • Light lab duties as needed such as folding towels needed for lab testing, mailing packages, organizing supplies, etc.
  • Coordinate and schedule meetings, appointments and outreach activities for the seed administrator and staff

What We're Looking For:
  • High school diploma/GED
  • 4 years office administration related experience
  • Teamwork and flexibility
  • Strong verbal and written communication skills
  • Effective time management and organizational skills
  • Resourcefulness
  • Proficient in the Microsoft 365 suite of software products, including but not limited to Word, Excel, Teams, PowerPoint and Outlook.
  • Proficient in Adobe Acrobat
  • Ability to quickly learn other new and changing software applications
  • Ability to work and make basic decisions independently, under moderate supervision
  • Ability to interpret policies and regulations
