Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Secretarial Assistant III.
This position is responsible for and not limited to the following:
  • Provides confidential and coordinating secretarial/clerical support and renders basic administrative staff assistance in both English and one or more foreign languages to the clinical program at Rutgers Law School – Newark.
  • Creates elementary databases and spreadsheets; drafts standard reports and informational materials; designs word processing routines to access, manipulate, and transmit files for specific uses; and performs a variety of additional advanced and basic word processing assignments. Answers phones and retrieves messages for the clinics.
  • Arranges meetings and associated logistics, provides information, greets and directs visitors to proper destination, organizes schedules, makes appointments and reservations, maintains records and files, and completes related duties.
  • Along with completing other duties as assigned.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
Requires a high school/vocational school education or equivalent, working knowledge of one or more foreign languages and English, plus one of the following: a) Four years secretarial experience; b) One year college level study plus three years of any equivalent combination of: secretarial experience, advanced secretarial training, or clerical experience, provided secretarial experience accounts for at least one year of any such combination; c) An equivalent combination of secretarial experience and up to two years advanced secretarial training. Requires demonstrated data entry/word-processing/typing skills and working knowledge and the ability to use basic spreadsheet, word-processing, database software, and/or email. Must be able to communicate effectively. Must have effective client service skills. May require shorthand, stenographic, and/or machine transcription skills.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Fluent in Spanish
  • Working proficiency in Word, Excel, PowerPoint and/or WordPerfect
Preferred Qualifications
  • Two years’ experience as a legal secretary
  • Working knowledge of (1) e-filing; (2) Clio or similar law practice management software; (3) Adobe; and (4) File maker or similar database software
Equipment Utilized
  • Computer and Microsoft Office.
Physical Demands and Work Environment
  • Work may involve travel to different departments in the law school or on Rutgers-Newark campus or travel to meetings for translation.
  • Transportation to any off-campus location is provided or reimbursed.
