POSITION SUMMARY:
The CON Scholarship Administrator at the College of Nursing oversees the day-to-day operational processes related to student scholarships within the college. Their responsibilities include managing scholarship procedures during regular cycles and off-cycles. This involves assessing student eligibility for scholarships based on specific criteria and ensuring accurate record-keeping of award transactions. Additionally, they maintain up-to-date data in the USF Award Spring system and manage internal college files using financial tools such as Finance Mart, USF Financial Aid reports, Oasis, and other relevant reporting tools.
The CON  Scholarship Administrator collaborates directly with the Student Success and Nursing Scholarship Committee, preparing both annual and ad-hoc reports for various university departments. They also assist students with scholarship inquiries and presentations as needed. Furthermore, the incumbent works across campus with other USF departments as appropriate. The Nursing Scholarship Administrator reports to the Associate Director of Budget and Finance at the College of Nursing.
RESPONSIBILITIES:

  • Manage and oversee the USF Award Spring System for the College of Nursing scholarships, updating, and handling yearly scoring and selection meetings with the Nursing Scholarship Committee. Process cyclical maintenance updates of system and train new committee members as needed. Position also helps ensure adherence to internal/external audits for grants/scholarships.
  • Monitor Nursing Scholarship email box to process new electronic applications, review for possible criteria matches with funds and working closely with student success and scholarship committee.
  • Notify students of scholarships and requirements needed to accept scholarships once approved, answering any student questions, process thank you notes.
  • Assist development office designee in maintaining donor profiles.
  • Collaborate with the CON Student Success Office, CON Director of Development, USF Financial Aid Office, USF Foundation Office, and the Graduate Office on an as needed basis.
  • Support the college's Scholarship Committee. 
  • Manage and process emergency scholarships as well as other non-Award Spring scholarships, working with committee members and running financial aid reports as needed.
  • Review fund criteria and balances when preparing or informing off-cycle and non-cycle awards for foundation endowments and operating funds.
  • Submit paperwork for financial aid fund codes along with terms and conditions of scholarships for new funds.
  • Prepare scholarship payment request forms for leadership review prior to processing submission, monitoring for posting to student accounts and update shared scholarship spreadsheet.
  • Prepare college annual and bi-annual reports on multiple Foundation scholarship funds.
  • Manage and process Nurse Faculty Loan Scholarship requests from students. Report yearly updates on funding agency websites (e.g. HRSA , etc.).
  • Review student application data to determine eligibility for scholarships.
  • Establish and maintain agreements and communications with external providers of scholarships.
  • First point of contact. Facilitate communication of scholarships available to current and prospective CON students.
  • Provide updated scholarship information for the CON financial aid website as needed.
  • Performs other duties as assigned.

POSITION QUALIFICATIONS:
MINIMUM:
This position requires a bachelor's degree with 2 years of experience.
Degree Equivalency Clause FLSB 1310: 4 years of directly related work experience may be substituted for a bachelor's degree. 6 years of directly related work experience may be substituted for a master's degree.

Knowledge of financial aid management systems and/or student information systems. Experience in higher education counseling/advising experience working with students and parents. Ability to work under pressure and in a fast-paced environment.
