Position Summary

Reporting to the Systems & Scheduling Coordinator, the Events Office Scheduling Coordinator manages the classroom scheduling services for 1,000+ Registered Campus Organizations (RCOs) and campus departments and academic units. The incumbent is responsible for overseeing the scheduling of 195 general assignment classrooms for extracurricular use by RCOs, campus departments, and non-affiliated external organizations in accordance with established policies and procedures. This entails: coordination of the classroom lottery process for assigning appointment times for RCOs to schedule classroom requests; initiating Events Online (EOL) applications to confirm scheduling requests and instructing customers on the EOL process; assessment and collection of scheduling fees when required.

Qualifications
  • Demonstrated skill in Word, Outlook, Excel, Google Docs and Windows operating systems, and experience in use of mainframe computer systems. (Required)
  • Demonstrated skill in performing a variety of duties, often changing from one task to another, including constantly changing between computer use and face-to-face public interaction. (Required)
  • Demonstrated ability to speak clearly and professionally on a one-to-one basis using appropriate vocabulary and grammar to obtain and relate information, and explain policies and scheduling procedures. (Required)
  • Demonstrated skill in interacting with persons of various social, cultural, economic, and educational backgrounds. (Required)
  • Demonstrated skill in interacting diplomatically with customers and the general public and the ability to maintain equanimity in the face of resistance, indifference or hostility. (Required)
  • Demonstrated ability of knowing where to go within an organization for needed information and ability to judge what information should be passed on to different levels of management. (Required)
  • Demonstrated ability to accept equivocal circumstances and take action where answers to a problem are not readily apparent. (Required)
  • Demonstrated skill in performing under the stress of frequent interruptions and/or distractions. (Required)
  • Demonstrated skill in prioritizing assignments to complete work in a timely manner when there are changes in workload, assignments and competing requirements. (Required)
  • Demonstrated skill in writing grammatically correct routine business correspondence, such as brief transmittal memoranda. (Required)
  • Demonstrated skill in analyzing information, problems, situations, practices, or procedures to: -Define the problem or objective.-Identify relevant concerns or factors.-Identify patterns, tendencies and relationships.-Formulate logical and objective conclusions.-Recognize alternatives and their implications. (Required)
  • Detailed knowledge of appropriate uses for and restrictions on University event facilities and the staff who schedule those facilities. (Preferred)
  • Detailed knowledge of University policies and procedures regarding the scheduling of classrooms for non-academic use. (Preferred)
  • Working knowledge of event production and how campus events impact normal University services. (Preferred)
