Position Description
The Salesforce Administrator is responsible for supporting the configuration, security and operations of Harvard Division of Continuing Education’s (DCE) instances of Salesforce products and connected applications. The incumbent will ensure the Salesforce platform is effective in meeting business needs and is scalable across the institution. The Salesforce Administrator will take a supporting role in the interaction between the customer (internal) and various technical teams.
Duties and Responsibilities include:
Maintains Salesforce Platform system configuration, data maintenance, security, data visibility & access, user functionality, documentation, reporting, and declarative automation tools while adhering to Salesforce Administration/Development best practices. Adheres to Agile Project Management principles and techniques.
Supports end-user solutions on the Salesforce Platform that utilize declarative automation tools (Lightning Visual Flow, Process Builder, Workflow rules, OmniStudio).
Collaborates with other Salesforce Platform Solution team members to support the design and development of Salesforce business processes that deliver value to end-user functionality.
Implements standard and custom Salesforce Platform solutions that utilize core Salesforce Student Information System (SIS) and/or Harvard data.
Manages integrated applications & installed packages, including but not limited to TargetX, Form Assembly, Vonage, Blackthorn, SSH (Student Success Hub), Service Cloud, Live Agent, Knowledge Base, OmniStudio and Education Cloud features.
Creates and maintains relevant training materials and user documentation for effective Salesforce onboarding and adoption. Communicates new Salesforce releases and functionality.
Provides regular onsite or remote training for DCE users and supports DCE’s Salesforce user group.
Recommend and inform users as new features become available for useful Business Operations.
Creates reports and dashboards using standard & custom report types. Ensures users are appropriately leveraging the correct reports for data needs.
Seeks continuous learning opportunities to keep abreast of the latest Salesforce functionality.
Maintains relationships with Salesforce peer institutions and actively contributes to the Higher Education Salesforce platform eco-system.
Basic Qualifications
- Minimum of two years’ post-secondary education or relevant work experience
Additional Qualifications and Skills
Bachelor's degree in business or related field
5-10 years of related work experience
Salesforce Administrator certification or equivalent
Strong business analysis and functional experience, including requirements gathering, creating and deploying solutions to end users
Understanding of platform configuration and how changes can affect system operation
Demonstrated ability to understand custom applications, objects, formula fields, workflow automations and custom views on the Salesforce platform
Ability to prioritize and handle multiple projects simultaneously
Demonstrate strong organization, and communication skills
Confidence in managing large amounts of data with related objects and functions
Strong sense of customer focus, both internal and external
Motivation to learn and continue to develop professional talents and skills
Platform App Developer certification
Advanced Salesforce Administration certification
Administration of Salesforce Communities
Experience administering a single instance of Salesforce across multiple departments at a Higher Education institution
Understanding of data governance at an organizational level

Work Format Details
This position will be based in Cambridge, MA. Hybrid workplace models in place at DCE with a minimum of 2 days per week on campus. DCE may adjust these as necessary or appropriate.
Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
About Us
The Division of Continuing Education (DCE) comprises four academic units serving about 30,000 domestic and international students annually, which allow Harvard to meet the learning needs of intellectually curious and highly motivated students from high school through retirement. Established in 1910, the Harvard Extension School (HES) offers access to Harvard faculty for a diverse community of adult learners, enrolling about 15,000 students. HES offers over 1,000 open enrollment courses — 85 percent of which are accessible online — and provides flexibility through noncredit, undergraduate, and graduate courses, including degrees, certificates, and a premedical program. The Harvard Summer School, founded in 1871, offers around 450 credit and noncredit courses both on the Harvard Campus and online, catering to 10,000 high school, college, and adult learners. Additionally, it offers more than 15 international study abroad programs, hosting up to 300 students each summer. Harvard DCE Professional & Executive Development delivers over 140 noncredit programs annually, reaching more than 3,600 participants through online platforms and its executive development center in Cambridge. The Harvard Institute for Learning in Retirement offers about 140 peer-taught courses to approximately 550 active members.
