This position will work a hybrid schedule which is a combination of working on Campus and Remote.


DESCRIPTION

Under the general supervision of the Associate Dean of Student Affairs/Director of Residence Life, this position provides administrative support to the Associate Dean of Student Affairs/Director of Residence Life, Asst. Directors of Residence Life, and Residence Life Business Manager. Serves as room assignments specialist managing separate resident housing (RMS) databases for ERC and I-House, coordinating separate and distinct room assignments and selection processes for ERC, I-House, and Raza Interest Community; responsible for maintaining confidential student information and records for all three communities. Coordinates the residence life office reception, managing all inquiries by phone, e-mail, or in person from students, families, and staff regarding all aspects of the housing contract as it applies to living at ERC and I-House. Assists Administrative Assistant II in directing the daily work flow of the main office and student assistants. Responsible for handling and processing roommate requests, room change requests, and contract cancellations on-site. Serves as the main liaison with HousingDiningHospitality regarding assignments for ERC and I-House. Assists International House Director and Asst. Director of Residence Life with I-House applicant processing and assignments. Assists Administrative Assistant II in managing mail and package distribution. Assists in the preparation and execution of separate student move-in and move-out for ERC and I-House. Manages the Residence Life office email account and performs general clerical functions.


QUALIFICATIONS
  • Effective interpersonal and verbal communication skill with the ability to clearly, courteously, and diplomatically communicate information to a diverse group of people (including students, parents, staff, and the community) in person, on the telephone, and via e-mail in a professional manner.

  • Knowledge of residential housing operations in a university setting.

  • Demonstrated ability to organize and meet deadlines in a timely manner, deal with changing priorities and work well under pressure. Skill in coordinating high volume workload with frequent interruptions and conflicting priorities.

  • Demonstrated ability to exercise independent judgement, discretion, initiative, tact and diplomacy in handling sensitive matters and maintaining strict confidentiality.

  • Ability to initiate and track various issues and follow-up to ensure timely completion of projects.

  • Experience with business productivity applications including, but not limited to, Word, Power Point, Outlook, Publisher and Excel and ability to learn new software programs.

  • Demonstrated knowledge of proofreading, grammar, punctuation, spelling and standard business formats.

  • Experience working in an office/administrative setting, preferably in a college or university environment.

  • Demonstrated ability to work both independently and in cooperation with others to accomplish assigned tasks.

  • Ability to operate standard office equipment (e.g, copier, printer, fax machine).

  • Demonstrated ability to answer, screen, and direct calls/visitors and take complete, accurate messages.

  • Skill in maintaining filing systems for rapid/easy retrieval by self or others.

  • Willingness and ability to meet University and department standards for attendance.

  • Willingness to follow the UCSD Principles of Community.


SPECIAL CONDITIONS

  • Occasional overtime may be required during opening and closing of residential facilities on a quarterly basis, including summer session as needed.


Pay Transparency Act

Annual Full Pay Range: $33,900 - $70,052 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $16.24 - $33.55
