ORGANIZATIONAL SUMMARY:

The Department of Internal Medicine is the largest and most complex department in the Morsani College of Medicine with over 26 Divisions, Programs and Centers/Institutes, total human resources in excess of 1,000, and an annual all-source budget in excess of $115,000,000.
The mission of the Department is to rank among the elite in the nation in the areas of education, research and patient care. The Department provides education and training for a diverse group of medical students, residents, fellows and health personnel from USF and throughout the world. Highlights of our success include Board Pass Rate at 100%; Resident Match Rate at 100%; Growth of residency program from 80 to 115; growth of fellowship programs from 70 to 96; doximity ranking at 84 and USMLE score average increasing from 200 to 247. The Department's research activities are numerous and involve both basic and clinical research activities in all subspecialties of Internal Medicine. Our current Blue Ridge Institute for Medical Research ranking equals 19.
POSITION SUMMARY:

This position coordinates residency administrative requirements with USF, Tampa General Hospital, and the accreditation bodies: Accreditation Council of Graduate Medical Education (ACGME) and the Residency Review Committee (RRC), and will provide direction, leadership, and day-to-day management of the Internal Medicine Residency & Fellowship Programs in conjunction with the appropriate Program Director and Graduate Medical Education (GME) Administration. The position communicates, facilitates, prioritizes and problem-solves with administration, support staff, faculty, residents, attending physicians and others to ensure quality, efficient and cost-effective accredited Medical Education services. The position oversees regulatory compliance by maintaining a working knowledge of the Accreditation Council of Graduate Medical Education (ACGME), the Residency Review Committee (RRC), and other regulations impacting residents for institutional core program requirements. The position assists in resident recruitment and selection, assures appropriate documentation, provides feedback, and makes recommendations to the Program Director on an ongoing basis. The position will also assist with development, execution and analysis of operational projects to strengthen the divisions performance in mission critical areas.
RESPONSIBILITIES:

Program Administration: Serves as Program Administrator for the Residency and Fellowship Program and work with program director concerning program management issues, activities, and the status of projects. Maintains databases with trainee and faculty data. Assist with the development and distribute schedules. Enter schedules in applicable hospital and institutional systems. Provides both administrative supervision and support to trainees. Coordinates trainee rotations and, as appropriate, observerships. Establishes relationships and acts as a liaison to other hospitals, internal departments, and divisions regarding trainee recruitment, orientation, affiliation agreements, and external rotations.
Program Development & Compliance: Assists in the preparation for Accreditation Council for Graduate Medical Education (ACGME) site visits and internal reviews. Interpret ACGME requirements, USF GME policies and procedures, USF policies as applicable, other national accrediting agencies, and hospital policies to support compliance and develop program policies and procedures based on external requirements. Tracks, reports, and ensures compliance with procedures regarding licensing, moonlighting, annual contracts, initial and re-credentialing of trainees. Assists in monitoring trainee duty hours and operative/case experience via regular review of data reports.
Communication, Outreach & Recruitment: Responsible for managing the annual residency recruitment process. May assist with quota review, `rank list? entry, and certification in the National Residency Matching Program. May maintain the Electronic Residency Application System database, and oversee its processes during recruitment season. Organizes meetings and prepares and distributes materials for conferences and lectures. Responsible for updating the website as needed to keep information current.
Budgets & Financial: Works with business manager/director to develop, monitor, and report on the yearly training program budget. Responsible for processing travel requests and reimbursements for trainees. Oversees all purchasing for the office/program, and orders equipment and supplies for the training office.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:

This position requires a Bachelor's degree and two (2) years of experience coordinating medical education programs or accredited residency and/or fellowship programs; or an equivalent combination of education and relevant experience.
PREFERRED:

Proven experience and record of achievement in a similar academic healthcare setting.
SPECIAL SKILLS/TRAINING:
Previous program administration experience in undergraduate or graduate medical education.
