The Registration and Records Specialist, Law School provides a broad range of support services to students, adjunct faculty members, and members of the Law School administration. Reporting to the Law School registrar, with a dotted line to the associate dean for academic affairs, serves as the point person for implementation of academic records policies, bar admission documentation for law students, and logistical aspects of the disability accommodations process for students. The position supports the hiring and work of the adjunct faculty and serves as a secondary point of contact for law students with registration questions.

Duties and Responsibilities
1. Preparing and processing graduation audits and certifications for the university and Wisconsin Board of Bar Examiners; serving as liaison to the Wisconsin Board of Bar Examiners; preparing student academic files for review by the Wisconsin Board of Bar Examiners; completing bar certification and character and fitness forms for students and alumni taking out-of-state bar examinations; playing a key role in graduation matters.
2. Serve as primary administrative contact for adjunct faculty, which includes: maintaining appointment documents; processing contracts for current and new adjuncts; processing book orders/review materials; maintaining the listservs that support adjunct faculty; coordinating new adjunct hiring and orientation with the associate dean for academic affairs, budget director, and Human Resources Department; maintaining adjunct syllabi; coordinating guests/visitors for adjunct faculty; and assisting with adjunct course information pages and assignment information on the Law School website. Is also responsible for basic financial /budget activities within department/college.
3. In consultation with the assistant dean of students, coordinating logistics for all student disability accommodations, including arranging for special exam timing, rooms, and instructions; collaborating with faculty to provide accurate instructions; and ensuring exam anonymity.
4. Assisting with the creation, proofing, and posting of semesterly registration materials; assisting students with registration questions.
5. Tracking, processing, and completing, as appropriate, administrative student requests including, but not limited to, requests for letters of good standing, name changes, and documentation associated with the transfer process.
6. Processing unofficial transcripts for students in connection with student job search, joint-degree enrollment, and the Law School’s judicial internship and supervised fieldwork programs; assisting with the processing, proofing, and posting of final course grades; overseeing administration of the CALI award process.
7. Coordinating confidential course evaluations; arranging to have course evaluations processed for data analysis; maintaining course evaluation records; processing course evaluation data for the Law School’s Faculty Promotion and Tenure Committee.
8. Overseeing and training student workers on the scanning and storage of noncurrent student academic files; in the absence of the student affairs office associate, assisting with supervision of student workers and administration of front-office duties.
9. Producing and distributing hard copies of all documents related to faculty meetings, including agenda items, lists of faculty achievements, and other attachments; coordinating faculty sabbatical plans and reports; collecting and organizing materials related to annual faculty activities reports.
10. Performs all other duties and responsibilities as assigned or directed by a supervisor.
Required Knowledge, Skills and Abilities
High school diploma.
A minimum of 3 years of related experience.
Be able to maintain strict confidentiality.
Possess strong oral and written communication skills.
Be fluent with all aspects of Microsoft Office.
Be attentive to detail, capable of producing neat and accurate work.
Be able to handle multiple projects simultaneously without sacrificing attention to detail.
Interact in a professional manner with a variety of diverse constituencies, including students, lawyers, judges, faculty members from other institutions, and alumni.
Be available to work some nights and weekends, particularly around graduation and exams.
Preferred Knowledge, Skills and Abilities
A bachelor’s degree is preferred.
Supervisor experience preferred.
Experience in either an academic setting or a law firm or legal department.
Comfort and experience with the Family Education Rights and Privacy Act (or FERPA)
Experience with academic records retention industry standards.
Experience with PeopleSoft
Experience with Learning Management Systems, such as D2L
