Primary Objective
The Registrar is responsible for the leadership and management of all administrative, operational, and technical functions of the Registrar’s Office, which serves both the College and the Conservatory of Lawrence University. The Registrar will maintain the highest standards of accuracy, security, and privacy of student records and will stay current with best practices and regulatory compliance for federal law, state law, and accrediting agencies such as the Higher Learning Commission and the National Association of Schools of Music. Reporting directly to the Provost, the Registrar provides strong, innovative leadership and plays key strategic and operational roles in realizing the academic goals and missions of Lawrence University.
Duties
Lead the strategic planning, implementation, and assessment of registral functions at the University, aligning practices and priorities to support the University’s mission and strategic plan.
1. In consultation with the Provost, develop goals for the Office of the Registrar; research and implement practices and technologies that best serve students and provide efficient and consistent service.
2. Work closely with co-located Financial Aid and Student Accounts staff to provide seamless service for student registral and financial services.
3. Cultivate a strong team environment where participation, professionalism, and an ethic of service are understood to be crucial to student success.
4. Share expertise on the academic processes of the University with other departments and with external agencies.
5. Stay current with practices and trends in higher education and in registrars’ offices, and encourage staff to participate in professional development activities.
Collaborate with the Provost, academic administrators, and faculty committees on the development and implementation of academic programs, policies, and procedures, and ensure the proper execution of established processes.
1. Serve as an ex officio member of the Curriculum Committee, Instruction Committee, and Academic Advising Committee.
2. Together with the Dean of Academic Success, act with authority granted by the Faculty Subcommittee on Administration to rule on academic petitions and to bring petitions to the full Subcommittee for determination as warranted.
3. Participate in institution-wide task forces on important initiatives.
Supervise the work of the Registrar’s Office:
1. Hire, train, supervise, and evaluate performance of Registrar office staff.
2. Prepare and monitor the department budget.
3. Manage the annual production schedule and update as needed.
4. Plan and coordinate course registration and grading activities.
5. Manage the storage and archiving of student records, credentials, correspondence, and other important documents.
Oversee the day-to-day management of student academic records, course registration, recording of grades, and administrative tasks related to academic policies and degree requirements.
1. Produce the master schedule of classes, oversee assignment of classrooms, and work with faculty to establish the academic calendar.
2. Oversee evaluation of transcripts from other institutions to determine transfer credit; ensure that transfer student transcripts are evaluated in a timely manner for general education credits and assist academic department chairs in evaluating transcripts for credit in majors.
3. Maintain official academic records; safeguard the integrity and security of student and alumni academic records, and ensure compliance with the Family Education Rights and Privacy Act (FERPA) and other federal regulations.
4. Work with the Dean of Academic Success to determine academic standing, resolve academic petitions, and communicate with students about their academic progress.
5. Evaluate students’ progress toward degree and program completion; process and certify the awarding of degrees and honors.
6. Supervise the preparation and release of Lawrence University official transcripts for current students and alumni.
7. Provide required information for the National Student Clearinghouse, IPEDS, VA, NCAA Division III athletic eligibility, and various surveys and reports.
Qualifications
1. Bachelor’s degree from a regionally accredited institution.
2. At least 5 years of experience in a registrar’s office with proven leadership, administrative, supervisory, and organizational abilities.
3. Experience in data management systems and use of technology to improve the effectiveness and efficiency of Registrar Office responsibilities; previous experience with Ellucian Banner and Degree Works is preferred.
4. Extensive knowledge of state and federal guidelines and compliance requirements.
5. Ability to assess existing operations and procedures and find new, streamlined ways to improve service to students and support of faculty.
6. Ability to maintain confidentiality and security of records and information.
7. Excellent interpersonal and communication skills.
8. Enthusiasm for working collaboratively with students, faculty, staff, alumni, administrators, and other constituents.
9. Demonstrated commitment to diversity, equity, and inclusiveness.
10. Ability to analyze, solve problems, and make effective decisions.
11. Must have successful completion of criminal record check, driving record check and reference checks.
