Description of primary duties and responsibilities:
Primary Purpose of the Organizational Unit:
The Office of the Registrar is part of the division of Academic Affairs and is responsible for all academic records, policies and procedures of the University. The Registrar reports to the Associate Vice Chancellor for Student Success and Enrollment Management. The office is responsible for registration processes, graduation and commencement processes, accurate record keeping of all students (current and alumni).
Primary Purpose of the Position:
The Registrar ensures and enforces compliance with all federal, state, and University regulations and policies, and is responsible for maintaining and enforcing institutional academic policies and FERAPA regulations The Registrar assists with the university’s graduation and commencement process to include CAPP, graduation clearance process, the event planning, runs degree audits as scheduled and/or as directed.
The Registrar’s Office provides primary oversight for the transcript requests, enrollment verification and National Clearinghouse processes to ensure accuracy and timely completion of task, transfer credit evaluation, collection and posting of grades, course and university withdrawals, and registration reinstatements.
Description of Work Continued:
40% Leadership: The Registrar is responsible for the overall management of the office including management of academic records and relevant processes, supervision of staff and directing the processes related to innovative course scheduling, optimization of course offerings, records management, degree verification, issuance of transcripts, data privacy, accreditation-compliant university bulletin/catalog, communications and collaboration for the design and implementation of commencement exercises.
20% Communication: The Registrar develops and publishes the academic calendar and the university bulletin, schedules each term, and manages utilization of learning spaces, collaborates to create optimized scheduling to support student success, manages the registration process, partners with academic administrators and faculty to facilitate and improve services to students to include registration, recognition of credentials, records policy, and ensures grades are recorded timely and accurately.
20% Technology and Data Support: The Registrar must have extensive knowledge of future-forward practices related to the work of a registrar for the purposes of compiling student statistical data, managing the registration process, and developing strategic plans for continuous growth in automation technology.
20% Process Improvements: The Registrar will conduct training for students, staff and faculty on registration and records processes and procedures. Maintains clearly written and easy to follow training materials in the office and on the office’s website. Will monitor data accuracy and oversee records maintenance (for instance address changes, grad changes, deceived student notification etc.).
Minimum Education And Experience Requirements:
  • Master’s degree from an accredited college or university with a minimum of five years of experience with student records and registration management systems at the institutional level. 
  • Managerial and supervisory experience at the level of the associate registrar or higher.

Preferred Qualifications:
Six or more years of leadership experience at the associate registrar or registrar’s level.
