Records and Program Coordinator, Zhejiang-UIUC Institute
The Grainger College of Engineering
The primary responsibility of this position is to provide coordination and support benefiting students enrolled in the Zhejiang University-University of Illinois at Urbana-Champaign Institute (ZJUI) through The Grainger College of Engineering. This person provides central coordination of academic administrative aspects of the ZJUI program through the Undergraduate Programs Office.
Duties & Responsibilities
ZJUI Records and Program Coordination

  • Serve as the point person for coordinating and communication of academic program administration, policy, procedures, and deadlines between The Grainger College of Engineering and ZJUI.
  • Participate in regular meetings with the ZJUI Academic Program Committee to coordinate practices that provide the best possible service for students, faculty, and staff.
  • Serve as the primary liaison for the ZJUI program with the Office of Undergraduate Admissions and the Office of the Registrar.
  • Coordinate the registration of winter and summer term UIUC courses for ZJUI students while they are in residence in China.
  • Coordinate the UIUC Student outbound exchange component to ZJUI.
  • Coordinate the English Language Course with IEI for incoming ZJUI exchange students.
  • Collaborate with the UIUC Office of Undergraduate Admissions to facilitate the UIUC admissions process for ZJUI students and convene the Grainger Engineering Admissions Review Committee on referred cases when requested.
  • Collaborate with staff in the International Programs in Engineering (IPENG) on the year-long exchange component of the ZJUI partnership.
  • Facilitate the course articulation process by ensuring final transcripts are sent both electronically and physically and that Office of Undergraduate Admissions, departmental, and College articulation approvals occur expeditiously.
  • Work closely with UPO Records Officers to certify final degrees.
  • Provide regular updates on the ZJUI programs for UPO and departmental academic advisors.
  • Collaborate with other units, colleges, and administration offices as appropriate.

Assessment of Programs
  • Develop systematic methods to obtain feedback from significant stakeholders for ongoing improvement and programmatic development.
  • Coordinate the ZJUI annual review report based on graduation rates, exchange participation, student feedback survey and academic standing (drops, highest honors, as examples). Coordinate with various staff and units as needed. Work closely with the UPO Coordinator of Educational Data to perform analysis on various topics and general reports for internal and external audiences as requested.

Academic Advising Support
  • Maintain a thorough understanding and documentation of UIUC and Grainger Engineering academic policies, procedures, and degree requirements as it relates to the ZJUI program.
  • Utilize the UAchieve Degree Audit system to regularly monitor degree progress of ZJUI students.
  • Understand the Undergraduate Programs Office records and academic advising structure to be able to appropriately refer student questions.
  • Apply judicious interpretations of Illinois program requirements on the basis of individual circumstances and within the framework of policy guidelines established by the campus.
  • Create a welcoming environment that is inclusive of students from diverse backgrounds.
  • Respond to queries from students, faculty, staff, and parents/families as appropriate (within the parameters of FERPA).
  • Provide referrals for academic and support resources for additional support.
  • Maintain thorough record-keeping of all student contacts.
  • Participate in End of Term (EOT) academic standing conversations as needed.

Minimum Qualifications
Bachelor's degree in business, communication, education, humanities, public relations, social sciences, or a field related to the position.
Two (2) years of professional work experience in admissions, records, registration, and/or closely related experience within an educational setting.
Demonstrated experience working with diverse student populations.
Demonstrated experience with programmatic development, implementation, and/or management.
Preferred Qualifications
Master's degree in higher education, student affairs, college student personnel, education, global studies, cultural studies, international affairs, engineering, or closely related field.
Two years of professional experience working in student records in higher education.
Experience working with international students in higher education.
Knowledge, Skills and Abilities
Strong verbal, written, and interpersonal communication skills.
Ability to collaborate with colleagues, students, faculty, and staff in higher education.
Exceptional time management skills and ability to manage multiple priorities.
Exceptional ability to focus on details and specific information.
Ability working effectively both independently and in collaborative groups.
Ability to respond to concerns, motivations, and learning patterns of undergraduate students.
Solid understanding of Windows-based applications, particularly database applications (e.g., Microsoft Access) and spreadsheet applications (e.g., Microsoft Excel).
Ability to learn and utilize student information and records systems such as Banner, UAchieve, and the UIUC Undergraduate Records system.
Exceptional ability to focus on details and specific information.
Knowledge of best practices in academic advising and student enrichment programs.
Excellent assessment, data collection, analysis, and report writing skills.
Skill in use of UAchieve and Banner Student Systems, knowledge of UIUC curriculum, programs, and policies, of campus resources, contacts, and offices that provide assistance/support services for undergraduate students.
Understanding of University of Illinois policies and procedures.
Appointment Information
This is a 100% full-time Civil Service 2753 - Admissions and Records Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the closing date. The minimum salary is $50,000 and is commensurate with experience and qualifications. Work authorization is not available for this position
