Project Policy Analyst 1 (PROJECT POLICY ANL 1)
Job Summary
Division project management and analytical support, working closely with Division Manager and Division Chief. Includes, but not limited to, meeting management, establishing project plans and timelines, obtaining data and other resources needed for each project, creating analyses and reports. Division analysis and reporting, running reports from a variety of clinical systems to track and measure clinical metrics, and designing custom reports. Drafts project reports, including graphics, tables and results of analyses. Manages complex schedules and travel for the Division Chief and other faculty, demonstrating initiative, sound judgment and discretion. Includes virtual meetings with participants across the country (and internationally), requiring technical skills to set up and troubleshoot connectivity (WebEx and Zoom). Drafts correspondence, reports and other documents for leadership review before dissemination, requiring superb writing and editing skills.

Minimum Qualifications

  • Bachelor's degree and/ or equivalent experience (degree in business, healthcare administration or related field).
  • At least three (3) years of administrative experience, including project planning and management.
  • Experience in coordinating travel, meeting arrangements at local, national or international meetings and preparation of travel and entertainment expense reimbursements (following applicable policies and procedures).
  • Experience supporting executives with verbal and written communication skills to compose clear, concise, and grammatically correct correspondence.
  • Experience in financial and/ or data analysis, including effective use of tools to accurately and effectively analyze data. Excellent interpersonal and verbal communication I customer service skills for independently planning and executing projects with diverse groups.
  • Experience and advanced skills to use various software applications (Word, Excel, PowerPoint and Outlook) to accomplish assignments, and the ability to quickly learn new software and apps as necessary.
  • Excellent writing, editing and proofreading skills to quickly and accurately produce reports, correspondence, and other written materials.
  • Demonstrated ability to work independently as well as cooperatively within a team.
  • Strong time management and multitasking skills.
  • Demonstrated political acumen to work in an executive-level office environment, with ability to represent division leadership with professionalism, tact and discretion to all constituents.
  • Investigative skills to obtain the information needed to clarify inquiries and requests; professional skills to handle sensitive or difficult situations diplomatically.
  • Ability to anticipate problems/ roadblocks and associated consequences and take appropriate initiative on behalf of the division manager or relevant faculty.
  • Demonstrated organizational and analytical skills to assume general projects and independently follow through to successful completion.
  • Experience and skills to efficiently manage multiple, complex electronic calendars.
  • Multi-tasking skills to manage many inputs and ensure follow-through on all activities.
  • Analytical and problem-solving skills to review information, draw conclusions, develop and evaluate alternatives/solutions.

Preferred Qualifications
  • Experience in an academic/healthcare setting.
  • Experience performing basic financial analysis / reporting.
  • Experience maintaining CV/ dossiers utilizing MyInfovault database.
  • Experience using analytical/ data management and tools and apps (e.g., Tableau, Qualtrics).
  • Demonstrated knowledge of Health System and UCD policies and procedures.
  • Skilled in using online / other project management tools and apps to track tasks, create project plans and reports (e.g., MS Project, Trello, Asana).
  • Analytical and accounting skills to review financial documents as well as mathematical skills to perform calculations and check results for accuracy.
  • Typing/ word processing skills to quickly and accurately produce a wide variety of documents and materials. Proofreading skills to locate errors and ability to correct such errors prior to submission.
  • Comprehensive knowledge of University Academic Personnel Policies and Procedures.

Department Description
General Internal Medicine (GIM) is one of 13 divisions in the Department of Internal Medicine. GIM includes 45 clinicians, researchers and staff physicians, as well as ongoing faculty and staff physician recruitments. GIM's missions include teaching, community and clinical service, and research. This position is GIM's project manager and analyst, clinical analyst, and executive support for the Division Chief and other faculty assigned faculty.
