Posting Summary
Rutgers School of Dental Medicine (RSDM) is seeking a Project Manager for the Office of the Dean. Under the direction of the Associate Dean/PI, this position is responsible for oversite and coordination of single and multi-site clinical studies and other research/education projects as assigned. The project manager is responsible for all aspects of grant and project management including scheduling, IRB submissions, subcontracting, purchasing, coordination or project, budget, project documentation, and report development.
Among the key duties of this position are the following:
  • Supports the Associate Dean/PI with key initiatives, prioritizing information and providing background on meetings and ensuring timely follow up.
  • Confers with the Associate Dean/PI to review progress of projects and discuss required changes in goals or objectives resulting from significant changes in conditions and the environment.
  • Maintains a detailed schedule of all project/grant activities, coordinates assignments and provides follow-up when needed.
  • Monitors deadlines; develops project plans, coordinates, communicates changes and progress, and completes tasks and milestones in a timely manner.
  • Maintains all study and project documentation.
  • Provides support to the Associate Dean/PI to ensure action items, deadlines and deliverables are completed; apprises the Associate Dean/PI of project status and other key initiatives as assigned.
  • Develops and manages essential documents for clinical studies including IRB submissions, clinical quality management reports, and materials for clinical monitors.
  • Coordinates and manages grant subcontracts.
  • Consults, coordinates and collaborates with administrators and faculty members across the school, Rutgers University, and other sites, supports advancing priorities; interacts with a wide variety of contacts; serves as liaison between the Dean’s Office and other University or external sites’ administrative offices.
  • Coordinates and completes assigned activities that include literature searches, written products, PowerPoint presentations, and Excel spreadsheets; budgets, project scheduling and statistical reports as needed.
  • Prepares and provides status reports to Associate Dean/PI and team in an agreed upon report format and agreed upon time intervals.
  • As assigned, attends meetings with both internal and external participants, captures next steps and ensures follow-ups and monitors progress and responses.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree in a relevant field required.
  • Minimum of six (6) years of experience in administrative management and program development in an academic environment such as an academic medical center, medical school teaching hospital or research university required.
  • Equivalent experience, education and/or training may be substituted for the education requirements.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Project management skills.
  • Excellent computer and writing skills required.
  • Effective interpersonal and organizational skills required; analytical, decision-making, problem solving, and communication skills required.
  • Proficient in Microsoft Office, particularly Excel, Power Point and Microsoft Project or equivalent Project Management tool.
Preferred Qualifications
  • Master’s Degree.
  • (2) or more years, in a managerial role.
