8:00 am – 5:00 pm; Monday – Friday with occasional evening and weekend hours, as necessary.
Primary Purpose of Position
This position is the project coordinator for the Department of Constituent Relations. Primary purpose is to provide support to the entire Department including administrative and budgetary duties, manage and assist in executing multiple executive level projects, special events and complex high profile meetings. This position is also the executive assistant to the Special Assistant to the Chancellor for External Relations & Partnerships, a member of the Chancellor’s Cabinet.
Minimum Education/Experience
Required Minimum Qualifications:

Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
University Preferred Qualifications:
Graduation from a four year college or university and at least three years of program associate experience; or an equivalent combination of training and experience.
Essential Job Duties
  • Provides day-to-day coordination and administrative support to the team including: tracking and reporting on projects; coordinating and distributing communications and other materials; preparing, editing, and maintaining reports and meeting notes as requested; scheduling, coordinating and preparing materials for in-person and virtual meetings, conference calls, and events.
  • Work with the department to establish internal project management procedures and policies.
  • Coordinate and execute events with high profile internal and external constituents.
  • Manage and coordinate multiple calendars including schedule meetings and appointments with internal and external leaders.
  • Make travel arrangements involving high ranking external public and corporate officials and internal Chancellor and Cabinet level officials.
  • Manage departmental budget.
  • Direct access to, or responsibility for, cash and credit card information, University property disbursements or receipts, and extensive authority for committing the financial resources of the University.
  • Manage contact information with updating records and tracking communications.
  • Direct responsibility for secure handling of sensitive and/or confidential information.
Other Work Responsibilities
  • Completes various other administrative tasks as assigned.
Departmental Preferred Experience, Skills, Training/Education
  • Bachelor’s degree from an accredited institution.
  • Three to five years of project coordination and administrative experience, preferably in a high volume office.
  • Experience in project management.
  • Experience in reconciling budgets.
  • Experience with Salesforce or other CRM system is preferred.
  • Experience in government and governing body protocol.
  • Proficiency in Microsoft and Google Suites.
  • Ability to independently manage multiple projects and deadlines.
  • Ability to manage sensitive and confidential information.
  • Excellent communication skills including editing and drafting of communications.
  • High attention to detail.
  • Strong interpersonal skills, warm personal style, and a customer-service orientation.
