Job Description

Reporting to the Executive Director of Donor Engagement and Communications (DEC), the Project Coordinator will support all three areas of DEC, including Annual Giving, Donor Relations, and Advancement Communications.

Primary Responsibilities


Project management: 

  • Monitors and updates the DEC communications calendar utilizing Airtable and coordinates project intake requests with appropriate staff members.  
  • Establishes check-in meetings with DEC staff members on approaching deadlines.  
  • Attends Advancement Communications meetings to manage the project workflow.  
  • Communicates with Advancement staff to understand their calendar updates and how it will impact the deadlines of DEC projects.  
  • Keeps track of student assistant assignments and ensures the tasks align with DEC’s goals and progress.

Writing & Editing: 

  • Supports Assistant Director of Content Strategy and Assistant Director of Donor Relations in creating and reviewing content for various donor communications, such as stewardship and impact reports, acknowledgment letter templates, student scholarship recipient testimonials, texting scripts and updates, and Annual Giving appeals.   

Stewardship & Events Support: 

  • Serves as support to the Assistant Director of Donor Relations in preparing and distributing all stewardship correspondence.  
  • Maintains pre- and post-event data in database event module (i.e., donor responses, attendance, special requests, etc.).  
  • Coordinates the logistics necessary for executing events and oversees their implementation (i.e., prepares name badges and event collateral).  
  • Acts as a primary day-of-event representative to student ambassadors/event volunteers before, during, and after event.

Annual Giving Support: 

  • Serves as support to the Associate Director of Annual Giving in all direct marketing needs, including post-production tasks.  
  • Serves as the lead gift officer for the Class Gift Campaign, which appeals to graduating seniors to make their first philanthropic gift. 
    • These responsibilities include managing an operating plan, sending email appeals, video stewardship/engagement, and attending the commencement fair.   

Administrative Support: 

  • Provides administrative support for all DEC activities, such as Qualtrics surveys, website updates, Marketing Cloud email creation and management, and other donor communications.  
  • Routes contracts and invoices from DEC team members through the Foundation and Legal Affairs and tracks the progress.

Qualifications

: 

Minimum Requirements:

  • Bachelor’s degree and two years of related experience; or a high school diploma or GED and six years of related experience; or a combination of education and related experience.

Preferred Hiring Qualifications:

  • The ideal candidate will know project management tools like Airtable and email clients like Marketing Cloud.
