Job Description

School of Molecular Sciences (SMS) is seeking a Project Space Planning Coordinator to assist the Facilities team by coordinating and completing various facilities-related and administrative tasks. This role includes managing daily maintenance and repair requests, assisting with renovation projects and space assignments, maintaining a real-time space database, and ensuring the working status of safety and laboratory equipment. The position also involves supervising student workers, troubleshooting equipment, and managing contract services. Under general supervision, the Project Coordinator addresses research laboratory, academic classroom, and office space functions within the academic unit, working closely with the facilities team and unit administrators on various projects.

Essential Duties

  • Prepares cost estimates, schedules, and implementation strategies.
  • Works with project stakeholders to establish project scope and coordinates SMS facility activities to develop the timeline of execution.
  • Routinely shares up-to-date project schedule with stakeholders.
  • Prepares and conducts space planning and management program evaluation activities.
  • Meets with Principal Investigators to assess their needs and define project scope of work; creates a detailed program that includes existing space utilization, occupant information, programmatic relationships, and qualitative and quantitative requirements.
  • Coordinates preliminary studies of proposed spaces to obtain information as to existing space allocations, efficient utilization, and potential building benefits and/or limitations.
  • Coordinates all projects through implementation to ensure that all aspects of the intended program are implemented and controlled as approved by university administration.
  • Creates multiple drawing scenarios, staking diagrams, and reports in response to the desired and/or approved program requirements.
  • Facilitates and builds relationships with multiple stakeholders to resolve issues related to planning.
  • Works closely and collaboratively with the SMS related project stakeholders, including the Capital Projects Management Group (CPMG), the College of Liberal Arts and Sciences (CLAS), and project-associated architects and engineers.
  • Provides architectural design assistance and interpretation to campus clients during the design and construction phases, helping the client successfully occupy their new space.
  • Interprets policies and procedures for space requests and utilization.
  • Coordinates with vendors on configurations, procurement, and installation of Furniture Fixtures and Equipment (new or re-used).
  • Identifies and resolves facility utilization conflicts between departments.
  • Obtains information for updating facilities inventory.
  • Participates in the action plans for leadership teams and leaders to direct and guide space planning and management programs, projects, initiatives, or areas of a department/college.
  • May assist in developing budgets, performance indicators, and accountability reports for new programs and/or budget units.
  • Develops and facilitates related meetings, workshops, conferences, and seminars.
  • May monitor the activities of assigned staff.
  • Assists with general renovation projects with space assignments and the respective tracking application.
  • Maintains real-time space database, including space details and occupants.
  • Maintains the working status of safety showers, eyewashes, fume hoods, gas services, water services, etc., with assistance from student workers.
  • Manages laboratory equipment fit-up and installation, troubleshooting, and contract services.
  • Supervises student workers.
  • Conducts activities related to research laboratory, academic classroom, and office space functions in a complex academic unit.

Minimum Qualifications

Bachelor's degree in a related field AND three (3) years of related experience; OR,Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved. Employee must possess a valid US Driver’s license of the appropriate class and required endorsements throughout employment.


Desired Qualifications

Evidence of a Bachelor’s degree in Architecture, Interior Design, or Business.

  • Evidence of a PMP Certification.
  • Evidence of a Six Sigma Certification.
  • Demonstrated knowledge with ASU safety and facilities policies and procedures.
  • Experience in the use of various types of database software.
  • experience working effectively in an environment subject to quickly changing priorities, sensitive/confidential information and short deadlines.
  • Experience in working effectively and collaboratively with faculty and staff.
  • Basic understanding of systems involving fluid flow (air and water), electricity, heat transfer.
  • Basic understanding of access restrictions needed to maintain and increase security through installation of card readers and cameras.
  • Demonstrated working knowledge of commonly used hand tools including portable saws, drills, compressors, generators, volt meters, and assorted testers.

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions. Drives University vehicle and/or cart to campus site.

Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.

This position receives managerial review of objectives. This position may provide work direction of activities to others for completion of project related tasks.
