What We Want

The Center for Teaching Excellence is looking for a motivated and skilled candidate to join our team as a Program Specialist II. This is not a remote position. This is an in-person position located in College Station, Texas. This integral role centers around collaborating with leadership and staff to foster the development, implementation, management, and assessment of our multiple programs. Ideal candidates will possess a Bachelor’s degree in a related field or an equivalent blend of education and experience, alongside at least two years of experience in program support, development, and implementation. You'll need to be adept with spreadsheets, databases, and presentation tools, have stellar communication and organizational skills, and the ability to manage time effectively. Your proficiency in multitasking and operating with minimal supervision, coupled with a background in project management and a penchant for database design, especially in contexts relevant to teaching and learning, will set you apart. Your responsibilities will be wide-ranging but focused on program support and coordination, evaluation and assessment, outreach and engagement, and administrative operations.

Qualifications

Required Education and Experience:

  • Bachelor’s degree in related field or equivalent combination of education and experience.
  • 2 years related experience in program support, development, and implementation.

Required Knowledge, Skills, and Abilities:

  • Knowledge of spreadsheet, database, and presentation applications
  • Excellent verbal and written communication skills
  • Strong interpersonal, organizational, and customer service skills

Preferred Qualifications:

  • Project management including managing timelines, gathering input from various stakeholders, and quality control with some supervisory experience.
  • Understanding of the Center’s mission and goals
  • Knowledge of data security and privacy; backup and recovery procedures
  • Ability to analyze data to derive insights that can improve teaching and learning
  • SQL familiarity (light) for data manipulation, querying, and database management
  • Skills in creating reports and dashboards that present data in an accessible and meaningful way to administrators and consultants.
  • Ability to design database schemas that efficiently stores and organizes data relevant to teaching and learning, such as resource materials, participant/engagement data, etc.

Essential Duties/Tasks

  • Program Support and Coordination – Plans, develops, implements, coordinates, and monitors specialized programs or services to facilitate program and Center goals.  Provides and coordinates advanced professional level support for programs to include coordinating logistics for Center workshops and events (i.e.: scheduling, venue arrangements, setup, and communications) and may assign duties for specified programs.  Maintains the program/workshop database including completing basic data analysis (e.g., summary statistics, correlation analysis, data visualization); preparing regularly scheduled reports for Directors; and highlighting derived insights and recommendations/decisions.  Organizes and executes, annually, two large-scale University teaching excellence award ceremonies in collaboration with the administrative team.  Design and maintain a database schema that efficiently organizes and stores data relevant to the Center's Celebrate Teaching Initiative (awards) in collaboration with the awards consultant and Director.
  • Evaluation and Assessment – Leads in developing the Center’s annual report including summarizing achievements, milestones, and key metrics.  Co-lead the annual report team, and collaborate with the evaluation team, providing basic data analysis, insights on data patterns and recommendations for program/Center growth.  Assists leadership and evaluation team with designing and implementing a comprehensive assessment process for programs.  Serve as an evaluation team member and lead meetings in absence of the team chair.  Lead working group/support team meetings aligned with goals of the evaluation team.  Assists with defining and collecting qualitative and quantitative data.  Oversees the collection and entry of monthly data sets for summarization and reporting.  Collaborates with staff to collect, edit, and finalize program summaries.  Trains CTE staff on database procedures, reports, and infographics.
  • Outreach and Engagement – Optimizing outreach and engagement strategies on behalf of the Center, including collaborating with the Outreach and Client Connections Team, and monitoring and evaluating overall efforts.  Determine and execute a communications process within university guidelines for use of TAMU Bulk Email, including the use of HTML, etc., ensuring visually appealing and effective communication.  Maintain both an internal and external (online) workshop calendar, providing easy access for faculty members to view and plan their participation.  Expand the core marketing process collaborating with MarComm and internal to unit groups with oversight from Directors.  Confers with staff on program issues and problems.  Attends meetings to discuss the progress of assigned programs.  Adheres to TAMU communication policies and guidelines while performing communication tasks.
  • Administrative Operations – Directs/manages a team of student employees in executing program support.  Assists in the hiring and training of students including scheduling and evaluating.  Assists in the development of policies, procedures, and guidelines.  Create additional databases supporting Center needs.  Supports the Center’s admin team with operations as needed.
  • Other – Develops, enhances, and implements annually, a personal professional development plan by assessing personal knowledge, skills, and abilities including participating in programs (workshops, conferences, etc.) to enhance job skills and increases knowledge and expertise.  Performs other duties as assigned.
