Position Overview

The Department of Women, Gender, and Sexuality Studies (WGSS) at the University of Kansas invites applications for a Program Manager to coordinate Trans Studies at the Commons, a Mellon funded initiative to build a hub of transgender scholarship and organizing. We seek a conscientious and community minded individual with strong administrative skills and a passion for social justice.

The position is 50% time–20 hours per week-from Feb 15th-Sept. 30 with full benefits and potential to increase hours to 75% time – 30 hours per week in October 2024. The grant funded position will terminate with the grant in May of 2027.
Trans Studies at the Commons is a local and nationwide initiative for scholar-activists building the field of Transgender Studies. With the support of the Mellon Foundation, we will build a cohort of interdisciplinary fellows, host annual retreats, present public programs, and collect oral histories. The Program Manager is a significant role tasked with executing day to day operations and the goals and vision of the Trans Studies Initiative, the cluster of faculty who serve as Primary Investigators on the grant.

We seek a Program Manager who can work collaboratively and independently, problem-solve, and organize multifaceted projects that span the grant cycle. A passion for social justice and familiarity with trans / queer / feminist politics is essential. We welcome candidates with a background in WGSS or a related field.

The successful candidate must have appropriate authorization to work in the U.S. before employment begins.


Job Description

Responsibilities include:

Public programming, including executing presenter contracts and booking travel and accommodations (30%)
•    Secure space for 7-15 public programs per year.
•    Address logistical concerns that will include travel and accommodations for presenters.
•    Identify venues for an annual week-long retreat in Lawrence.
•    Plan logistics including dining for all the visiting scholars during retreats.
•    Execute presenter contracts.
•    Meet with and communicate with PIs to design cohesive public programming.  

Grant management, reporting, and liaising with the Mellon Foundation (35%)
•    Examine awards to understand terms and conditions and nuances, review with PI, and administer project by monitoring awards for compliance.
•    Prepare monthly financial budget reports for PIs. Based on PI feedback, prepare funding scenarios and conduct expenditure forecasting to aid award management throughout the life of the project.
•    Maintain accounting records for all awards within your assigned portfolio.
•    Reconcile all assigned accounts against the PPM and General Ledger on a monthly basis.
•    Coordinate personnel and purchasing activities with the PI and SSC finance and HR staff; review transactions for alignment with award terms and conditions and cost accounting standards including budget adjustments, journal request changes (JRCs), invoices, check requests, travel and expense reimbursements and purchase requisitions as necessary.
•    Offer to meet with PIs on a regular basis to provide updates on the financial status of their accounts.
•    Participate in meetings and events with PIs to maintain knowledge of the unit and relationship with the PIs and staff.
•    Pre-review effort statements for accuracy prior to final certification by PI/Self-Certifier.
•    Assist Principal Investigators with budget development for progress reports. Assist with submission of progress reports, program reviews, and other activities related to the award.

Facilitate community partnerships in Lawrence, Kansas City, and nationally (20%)
•    Facilitating the transfer and reporting of community grants funds.
•    Assist in the design of the community grant application and selection process.
•    Disseminate applications and advertise community grants.
•    Communicate with community partners as needed.
•    Coordinate meetings with PIs and community members.

 Coordinate advisory board (5%)
•    Schedule quarterly meetings of the advisory board.
•    Provide any required logistical support (zoom links, room reservations, etc.).
•    Coordinate payment of advisory board members.

Manage project website, communications, and social media (5%)
•    Manage and execute minor changes to the website.
•    Coordinate any larger changes with the web designer.
•    Oversee and update all project related social media as directed by the PIs.

Capture community feedback and disseminate assessments (5%)
•    Gather feedback through community surveys and online assessments designed by the project team.
•    Coordinate with other project team members to process this raw data to integrate into reports and public communications.


Position Requirements

  • The position requires occasional evening and/or weekend hours.
  • The Program Manager will begin in February 2024 and sunset with the end of the grant cycle in Summer 2027.
  • Salary for .5 FTE $30,975 with the potential to increase to .75 FTE after 6 months

Required Qualifications

  •     Bachelor’s degree
  •     5 years grant managing experience
  •     Strong written communication skills and detail oriented as evidenced by application materials
  •     5 years experience with LGBTQ community or other social justice movements

  • Preferred Qualifications

  •     Prior experience with large scale institutional grants, budgets, and reporting
  •     Event planning
  •     Website management
  •     Connections to local organizing who can deepen meaningful partnerships between KU and social justice efforts
