Position Highlights The Department of Astronomy/Steward Observatory is a world leader in space and ground-based telescopes. This position provides administrative and project support for the Aspera Mission, Steward Observatory Ultraviolet Astronomy Group, and the Astrobiology Institute. This individual assists the faculty supervisors in administrative, operational and technical activities related to the research and operations of their groups and projects. The candidate will help manage resources based on the scope of research projects and goals of the faculty supervisors, and will also be responsible for communication, meeting and event coordination, financial activities, travel planning and reconciliation, and reimbursements on behalf of the research projects. Additionally, the candidate will be required to purchase and track items, communicate with vendors to discuss lead times, and maintain a parts-tracking spreadsheet to update managers/PI as needed. Additional word processing support will be required for proposals and project reports.

Duties & Responsibilities

Coordinates and performs day to day administrative and project support for growing research projects:

  • Help manage resources based on the scope of project and PI goals ensuring smooth operation and meet project timelines.
  • Handles administrative tasks related to the research including meeting and event coordination, financial activities, travel planning and reconciliation, and reimbursement.
  • Serves as contact for members of the research group, internal and external, to ensure effective communication. 
  • New student employee onboarding.
  • Additional word processing support will be required for proposals and project reports.

Develops and monitors project plans:

  • Required to purchase and track resources.
  • Communicate with vendors to discuss lead times to meet timelines and budgets.
  • Maintain a parts-tracking spreadsheet to update managers/PI as needed.

Travel and conference planning:

  • Organize conferences based on PI direction coordinating with designated external committee leaders to arrange travel and lodging for large incoming groups.

Knowledge, Skills, and Abilities:

  • Excellent oral and written communication skills and ability to work in a team environment.
  • Excellent interpersonal and organizational skills.
  • Excellent attention to detail.
  • Willingness to learn new tools, techniques, applications, systems and processes as needed. 
  • Proficiency using Google Docs/Sheets/Calendar, Microsoft Office and Outlook, SharePoint or equivalent.
Minimum Qualifications
  • Bachelor's degree or equivalent advanced learning attained through experience required.
  • 1 year of relevant work experience required.
