Program Description

The Duke College Advising Corps (DCAC) works to increase the number of low-income, First-Generation College and underrepresented high school students who enter and complete higher education. It recruits, trains, and places 20-22 recent college graduates as full-time, near-peer college advisers in underserved North Carolina schools and communities to provide the support that high school students need to navigate the complex processes of college admissions, securing financial aid and enrolling in schools that serve them well.

The Duke College Advising Corps is a Duke University Office of Durham and Community Affairs program.

Position Description

The Program Coordinator reports directly to the Program Director of the Duke College Advising Corps and performs various administrative and logistical functions essential to the program's day-to-day operations. The Program Coordinator also initiates and leads several special projects annually to benefit the Duke College Advising Corps, working with College Advisers and other stakeholders to achieve and advance program goals.

Responsibilities:

DCAC Recruitment, Training, and Ongoing Professional Development of Advisers (50%)

  • Coordinate efforts in developing an Adviser recruitment calendar, contacting prospective applicants and mission-aligned organizations, person-to-person recruitment at campus events, and assembling a recruitment committee.
  • Schedule interview cycles and track Adviser applicants through the recruitment process
  • Coordinate the planning and implementation of the four-week summer Adviser training; also responsible for coordinating and purchasing all items and supplies required for training sessions.
  • Coordinate the planning and implementation of additional professional in-service training with Advisers throughout the year, both on-site at Duke and an off-site location.
  • Coordinate development of content resources for use by Advisers during training and at their placement sites
  • Plan and execute monthly Adviser meetings at the NC Mutual Tower. The meeting content should coincide with the relevant programming and/or goals Advisers are engaged in during the school year.
  • Support each Adviser in developing site-specific strategic work plans and service deliverables in accordance with program and school-level goals.
  • Visit Advisers in their high schools to offer advice and counsel and troubleshoot concerns as necessary.
  • Communicate regularly with Advisers in person and writing regarding program key performance measures and data, time-tracking and attendance, and their overall professional development.
  • As needed, escalate concerns to the Program Director to ensure that the Advisers are on track to meet program and school-level goals.

Grant Administration Support (20%)

  • Assist in gathering necessary documentation and information, such as program data and other supporting materials, for grant compliance, requirements, and deadlines.
  • As requested, gather data, impact stories, and outcomes to showcase the program’s progress and achievements. Help compile and organize the necessary information to create comprehensive and compelling reports.
  • Collaborate with the program director to promptly respond to grantor inquiries and requests for additional information. Assist in preparing and providing the required documentation, such as financial reports, progress updates, and impact assessments.
  • Provide Supervise and guide DCAC advisers to ensure program policy and procedure adherence.
  • As needed, escalate concerns to the program director to ensure proper grant administration.

DCAC Communications, Evaluation, and Assessment (15%)

  • Oversee and develop original content for all DCAC social media accounts, Twitter, Instagram, and Facebook, featuring current Advisers, stakeholders, high school partners, and program alums.
  • Strategically contribute to campus and community conversations about increasing access to higher education for underrepresented student populations
  • Engage former DCAC advisees who are currently enrolled as Duke undergraduate students.
  • Stay current on appropriate source data used in managing and evaluating the program, including, but not limited to, the National Student Clearinghouse, GRACE database, and other relevant sources related to managing and evaluating the Duke College Advising Corps program.

DCAC Program Administration (15%)

  • Collect and track all AmeriCorps records, timekeeping, etc., on the OnCorps platform.
  • Communicate with on-site liaisons regarding member timekeeping and member performance evaluations.
  • Keep Advisers up to date on their progress towards attaining the Seagal Education Award.
  • Other duties as required to achieve the goals and objectives of the program.

Required Qualifications:

  • Bachelor’s degree
  • Strong interest in supporting near-peer advisers providing college access services to underrepresented high school students and their families within populations across central North Carolina.
  • Valid driver’s license
  • Criminal background check
  • Authorization to work in the United States of America
  • Eligibility for hire as an exempt employee of Duke University
  • Flexibility to adapt to both site-based and remote working environments.

 Skills:

  • Demonstrated ability to work independently of direct supervision.
  • Demonstrated ability to plan work efforts to achieve and document projects.
  • Excellent written and oral communication.
  • Demonstrated ability to multitask and balance several ongoing tasks at once.

Preferred work or volunteer service experience:

  • Educational outreach to youth and families from diverse backgrounds     
  • Near peer advising

Education

Work requires analytical, communication, and organizational skills acquired through completing a bachelor's degree program.

Experience

Work requires one year of experience in program administration or involving academic, instructional, or counseling activities to acquire the skills necessary to plan, coordinate, and implement various program activities and events.  OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
