Posting Summary
Rutgers, The State University of New Jersey, is seeking a Program Coordinator I for the School of Arts and Sciences (SAS).
Among the key duties of this position are the following:
  • Provides administrative and programmatic support to the Career Explorations in Arts and Sciences Program, School of Arts and Sciences.
  • Assists with the coordination and administration of program courses, events, scholarships, and processes, and with the preparation and control of records, statistics, reports, supplies, and documents.
  • Handles scheduling and course coordination, instructor hiring, logistics, website updates, marketing materials, and data entry.
  • Assists in day-to-day operations and is the primary preparer for business and personnel-related transactions for the program.
  • Reports directly to the Director of the Career Explorations Initiative of the School of Arts and Sciences.
  • Works independently with minimal supervision, within established work parameters, with few direct instructions.
  • Carries out routine and non-routine tasks with occasional review of work outputs by supervisor.
  • Performs professional work that requires knowledge of general administrative/office management principles and practices and a good understanding, use, and application of concepts, theories, principles, practices, terminology, and applied bases of departmental administration.

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience
  • Bachelor’s degree.
  • A minimum of two years experience working in higher education administration.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Strong MS Office skills including Excel, Access, Word, and Power Point.
  • Good time management skills.
  • Demonstrated ability to maintain a professional and welcoming demeanor to all colleagues, students, and guests.
Preferred Qualifications
The ideal candidate must be eager to learn new material and skills and be an effective communicator. Experience with Canva, social media, events management, project management, personnel administration, or business administration in a higher education setting.
Equipment Utilized
  • Microsoft Office Suite. Rutgers systems such as Cornerstone and Marketplace, Oracle (journal entries), Course Atlas, Course Scheduling System, REGIS, Rutgers IMS, and other RU systems, Payroll, and SAS systems for hiring and onboarding.
Physical Demands and Work Environment
  • Must be available to work some evenings and weekends each semester.
  • SAS special events such as SAS Convocation, Rutgers Day, or other events as requested by Director or decanal leadership.
  • Must be punctual and available during core business hours to meet operations needs of office.
  • This position must coordinate competing priorities.
  • Must be able to handle interruptions and quickly re-establish focus on multiple tasks at hand on a continual basis.
