Job Description

The Design School at the Herberger Institute for Design and the Arts seeks a high-performing, positive, and service-oriented individual with excellent attention to detail to join the Student Affairs team as Program Coordinator.  Under general supervision, this individual will oversee student affairs and administrative needs of graduate and doctoral programs.  This position requires meticulous attention to detail, excellent problem-solving skills, a high degree of interpersonal communication skills, and a knack for interpreting policy and adhering to procedures.  This position will serve as liaison between TDS administrative offices and students, faculty groups, other university departments, community groups and serve as the primary contact between assigned academic units, graduate advising staff, and Graduate Education to facilitate successful completion of course of study for graduate and PhD students.

Essential Duties

  • Works closely with assigned academic unit graduate student advisors by responding to inquiries regarding program requirements, interpretation of policies, and strategies to assist students progress towards completion. 
  • Provides advising to graduate students and doctoral candidates, including submitting interactive plans of study, creating concurrent degree pathways, tracking satisfactory progress, organizing and maintaining student files, and live meetings with students.
  • Reviews and approves all graduate student plan of study (iPOS) to ensure compliance with established degree requirements including, but not limited to: coursework, committee and culminating experience; identifies and resolves discrepancies to ensure plan is consistent with program.
  • Collaborates with fellow Program Coordinators and cross-advise on matters pertaining to other academic programs.
  • Maintains detailed and accurate student records using internal and external systems (Graduate Application Review System, Microsoft Office, Peoplesoft, Google sheets, Canvas, etc.), provide data as requested.
  • Interprets, implements, and adheres to policy, and ensure that students, faculty, and staff are abiding by mandated policies and procedures.
  • Reviews petitions for exceptions or changes to plan to determine validity of request; as appropriate requests additional follow up materials from student to justify request to ensure request does not compromise integrity of program; provides response to student.
  • Schedules and actively participates in regular status meetings with academic unit advisors; prepares informational materials and presentations, responds to inquiries regarding policy interpretation and/or exceptions.
  • Serves on various committees pertaining to student affairs, including but not limited to curriculum, admissions, recruitment, cocurricular success, and more.
  • Provides analytical reports to academic unit advisors of activity and works closely with analytics functions to request ad hoc and/or custom reports based on stated needs of academic unit advisor(s).
  • Works closely with the Graduation Office during semester close; verifies students applying for graduation; confirms completion of all requirements, links to final thesis/dissertation/defense is active to ensure smooth transition to graduation.

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Evidence of a Masters degree; previous academic advising or curriculum review in an institute of higher education.
  • Experience in collaborative curriculum development. 
  • Demonstrated knowledge of design and arts education
  • Demonstrated customer service experience with diverse groups.
  • Experience in maintaining effective, respectful working relationships.
  • Evidence of effective communication skills.
  • Demonstrated knowledge in admissions, iPos (Interactive Plan of Study), TA/RA recruitment, and Ph.D recruitment preferred.
  • Demonstrated knowledge of all applicable regulations concerning confidentiality of student data i.e. FERPA.
  • Demonstrated knowledge of the principles and practices of higher education.
  • Demonstrataed knowledge of up to date trends and issues in higher education and marketing.
  • Demonstrated knowledge of ASU academic structure and organization.
  • Demonstrated knowledge of basic computer programs, including Microsoft Office Suite, PeopleSoft, and Salesforce. 
  • Demonstrated knowledge of academic programs, colleges, and departments university-wide. 
  • Demonstrated knowledge of the principles of exemplary customer service demonstrated through actively listening, acknowledging, and responding to every inquiry; taking ownership and resolving each concern or problem as appropriate; exhibiting professionalism and expertise in every interaction and engaging in professional development to meet expectations for service excellence. 
  • Demonstrated knowledge of admissions and graduate advising.
  • Experience in communicating in a clear, concise, understandable manner, and listen attentively to others, understands material, and provides instructions to all employees. 
  • Experience in demonstrating sensitivity to needs of a diverse student population.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. 
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. 
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. 
  • Ability to clearly communicate to perform essential functions.

Schedule:  Typical schedule of 8 am - 5 pm, Monday - Friday with possible nights and weekends with notice for events.
