Occupational Summary

Plan, coordinate and administer activities within assigned program areas; develop, coordinate and advise on policy related to assigned major programs. Primary responsibility is to coordinate educational activities for the Pediatric Clerkship and the Pediatric Sub-Internship Program, including:

• Assist Directors in developing schedules and managing schedule requests, submitting and tracking evaluations (MedHub), tracking assignment completion (BlueDocs, Canvas, and), posting curricular materials (Canvas, BlueDocs), scheduling student and faculty meetings with Directors. Duties to be performed for the Clerkship in 12 blocks per year (each with approximately 10-11 students) and about 4 blocks per year for the Sub-Internship program (each with approximately 4 students).

• Serve as primary point of contact for medical students.

• Assist Directors with continuous curricular improvement, including innovation, for all aspects of the Program. When appropriate, participate in educational research with Directors.

• Assist Directors with developing and implementing educational sessions including orientation, “Pediatric Bootcamp”, weekly educational workshops/Team Based Learning, student only morning report sessions, and fellow teaching sessions. Create all curricular materials to send to students and update each academic year.

• Assist Directors in generating educational reports for the School of Medicine, evaluation reports for faculty of different divisions, revising educational policies, and ensuring compliance with accreditation.

• Assist Directors in faculty & trainee development, including gathering data & creating presentations

• Collaborate with other coordinators in the School of Medicine to ensure best practices; maintain records of mid-clerkship feedback sessions and grade submissions in collaboration with Office of Curricular Affairs to maintain accreditation

• Create annual UME Budget to submit to department leadership

• Help with PIONEER Pediatrics Schedule including providing all of the clinic addresses, full preceptor names and contact information pf pediatric preceptors to PIONEER program.

• Coordinate different clerkship and pathway to pediatrics events including arranging for food and beverage for those events (approx. 1-2 events per quarter).

Assistant supervisor to the Office of Pediatric Education Manager:

• Perform tasks to support the Office of Pediatric Education including residency and fellowship programs and general office processes and procedures as assigned by the Education Manager and/or Vice Chair of Education

• Perform and approve centralized financial reconciliation for all reimbursements submitted by educational administrative assistants; perform monthly FAM validation

• Perform other similar duties as required

Required Qualifications at this Level

Education/Training

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience

Work requires three years of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Skills

• Ability to provide guidance and direction to subordinates, including setting standards and monitoring performance.

• Skills using logic and reasoning to identify the strengths and weaknesses of alternative solutions to problems.

• Skills evaluating program performance, summarizing findings, communicating results, and forming an action plan.

• Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resources.


Minimum Qualifications

Experience

Work requires three years of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
