Academic Guide Program Coordinator

Job Summary:          

This position is responsible for enhancing undergraduate education at Duke by coordinating innovative programming in the residential quads. In collaboration with the Residence coordinator, student leaders in the Quad Council, and Faculty Fellow, the Academic Guide Program Coordinator coordinates the delivery of enriching services that cultivate academic excellence, stimulate intellectual curiosity, encourage emotional health, and foster life-long learning.

Work Performed:

The Academic Guide Program Coordinator meets individually with students to provide customized support in self-regulation, academic skills, resilience, and personal well-being  (30%)

  • Assess students’ needs through triage support and make recommendations/referrals to ARC learning consultants or other campus offices or services as appropriate.
  • Through academic coaching and time-management consulting, work with students to develop strong self-management skills.
  • Support students in making behavioral changes that nurture long-term positive emotional well-being.
  • Assist students with general advising including academic pathway options, course selection, connection to others in the advising network, and integration of curricular, co-curricular, and experiential opportunities.
  • Maintain records of individual student appointments and enter notes and other data about individual appointments in a timely manner in the program’s scheduling platform.

The Academic Guide Program Coordinator coordinates the implementation of student excellence programs in the assigned quad.   (30%)

  • Work closely with the Residence Coordinator, student leaders in Quad Council, Faculty Fellow, and campus partners to coordinate the delivery of academic programs and to enhance existing programs such as peer tutoring and study groups in the residence halls.
  • Coordinate programs and event planning across the Quad to include vendor research, analysis and selection; schedule and coordinate speakers; determine and coordinate location details; develop and maintain event budgets; and perform other required administrative tasks.
  • Maintain records of all programming and enter notes and other data about individual programs in a timely manner in the Academic Guide Program’s events tracking system.

The Academic Guide Program Coordinator will    (30%)

  • Be trained in academic support, academic advising, and motivational interviewing in order to integrate the academic, resilience, and personal well-being tools students need to make behavioral changes for success.
  • Maintain ongoing communication with the Residence Coordinator, Resident Assistants, Quad Council, and Faculty Fellow by attending regularly scheduled meetings or by establishing regular check-ins with these groups at mutually agreed upon times.
  • Maintain regular communication with quad residents about Academic Guide appointments and programs as well as other campus events, news and resources that support students ’ academics and well-being.
  • Prepare and monitor individual budget for quad programming, office supplies and other costs, in consultation with the Program Director and Senior Academic Guide.

Other    10%    

  • Participate in staff meetings and other related meetings as needed.
  • Maintain liaison with other programs, offices, and departments at Duke to coordinate program business and to accomplish program objectives.
  • Assist with program assessment and evaluation.
  • Assist with program marketing and social media outreach.

Required Qualifications.

A bachelor’s degree is required.  Must maintain a flexible schedule to be accessible to students in the residence halls outside regular business hours.

Preferred experience:

  • At least 1 year of experience providing academic support, advising, teaching, or related engagement with students in a higher education setting.
  • Fluency with desktop applications such as the Microsoft Office Suite and familiarity with data management systems.
  • An understanding of student cognitive, social, and emotional development and learning strategies at the post-secondary level. 
  • Facility with digital outreach including social media and website maintenance.
  • Strong oral, written, and intercultural communication skills.
  • Incorporates an anti-racist and anti-oppressive lens into work responsibilities and processes.
  • Experience working directly with and elevating the ideas of people from diverse racial, ethnic, and socioeconomic backgrounds.
  • Ability to serve as an advocate for individuals of all backgrounds.

Minimum Qualifications
Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.


Experience

Work requires one year of experience in program administration OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
