Job Summary

The Department of Medicine’s Office of the Chair is seeking a Program Coordinator to support the Vice Chair of Administration and Finance, as well as the Vice Chair of Quality and Innovation in the planning, communications, and project implementation of initiatives generated by the Chair’s Office which includes but is not limited to discreet project work, tracking and managing data, presentations, coordination, and planning of meetings and events, calendaring, and daily work to support the Office of the Chair.

Duties and Responsibilities

  • Provide administrative support to the Vice Chair of Quality and Innovation and the Vice Chair of Administration and Finance.
  • Provide planning and logistical support for regular meetings, special activities, and events of senior leaders, including faculty/staff gatherings and leadership search committee activities.
  • Serve as conference/event coordinator for the Chairs Office - responsible for planning and organizing events on behalf of the chair. Duties will include creating the conference/event schedule, booking speakers, reserving a venue, securing audiovisual and other equipment, arranging catering, getting sponsorships, overseeing marketing efforts, and serving as the primary point of contact. You are also responsible for ensuring the conference/event runs smoothly and the flawless post-conference cleanup.
  • Develop, coordinate, and streamline documentation and maintenance of departmental policies.
  • Develop project and communication plans to support assigned projects.
  • Consistently apply standard processes, tools, and methodology to program/project management.
  • Develop and coordinate new ideas and concepts for program themes, materials, and resources to supplement, expand, or replace existing program components.
  • Responsible for maintaining strategic documents and facilitating the implementation of action plans.
  • Publicize and market research events and programming, including conceptualizing and developing newsletters, fliers, slide presentations, and other materials for internal and external audiences.
  • Monitor and evaluate program effectiveness using qualitative and quantitative research techniques; investigate trends, and recommend and implement modifications to improve program effectiveness.
  • Responsible for coordinating and collecting Departmental leadership metrics, distributing scorecards to Divisional and department leaders.
  • Interface with external organizations to enhance cooperative efforts and utilize available resources.
  • Responsible for writing, reviewing, and managing letters and correspondence for vice chairs and associate vice chairs.
  • Provide program/project management support for special projects assigned by the .
  • Provide administrative support for the Chair’s office procurement (ordering supplies, processing procurement card payments, making travel arrangements, mail distribution, etc.)
  • Support the general needs of the Chair’s Office, reporting to the Administrative Coordinator Perform other related duties incidental to the work described and as required.

Minimum Qualifications
Education

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.


Experience

Work requires one year of experience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
