Job Description Summary:
It is the academic mission of The George Washington University’s School of Business (GWSB) to be a preeminent business school recognized for scholarly research, teaching excellence, innovative curricula, and focus on the responsible management of organizations in the global environment. The GWSB is searching for a Program Associate, GWSB Operations, to support this mission.
The core responsibilities of this role are to liaise with GWSB constituents and with GW Central Facilities and Custodial Services to ensure the success of GWSB Operations and operational efficiencies. This position manages operational oversight from start to finish, working with internal and external partners. The Program Associate exercises authority to make project-related decisions and develops and improves the team’s strategic direction, office procedures, and policies. This position reports to the Program Director, GWSB Operations. This position aims to provide coordination and program management on behalf of GWSB Operations. This role will serve as a point of contact for GWSB Operations, answer typical and complex operational questions from faculty, staff, and students, and provide functional support and management for GWSB Operations.
Functional support could include developing new programming, planning and executing events, managing building improvements, renovation, and capital projects, managing web presence and marketing efforts, drafting program materials, answering external inquiries, tracking spending and processing payments, preparing and analyzing reports, and similar duties. Often, these positions make recommendations to policy and procedure, and they are tasked with outreach to other GW stakeholders in order to assist in maintaining standard operational efficiencies. This position does not have direct reports but often schedules, trains, and supervises student staff, volunteers, or leads other office staff. Typical duties are often administrative and will be directed by GWSB Operations leadership.
Specific responsibilities are:
  • In conjunction with GWSB departments, centers, institutes, and student groups, provides support in planning, managing, and executing virtual and in-person events. Manages registration and participant tracking to include day-of support.
  • Schedule meetings and events in GWSB-managed spaces. Provide logistical guidance for events and confer with clients about best practices with space requests.
  • Manage activities related to GWSB building improvements, capital and renovation projects in conjunction with the Program Director, GWSB Operations. Maintain a central list of GWSB events for space usage, budgeting, and outreach in conjunction with the Program Director, GWSB Operations.
  • Operates as a liaison between GWSB and GW Facilities and Custodial Services, serving as a central contact point for GWSB.
  • Manage university-branded promotional material orders and inventory.
  • Track program and event expenditures, update budgets, and other logistics.
  • Manage approval and use of all event promotion via posters and flyers throughout the buildings. Manage vendors, ensuring compliance to budget and follow through with contractual obligations.
  • Serve as primary contact for vendor services (coffee and water service, shredding, and plant maintenance), making purchasing recommendations.
  • Manage client requests and serve as the backup for the Program Manager, GWSB Operations.
  • Coordinate moving and storage needs with central GW Relocation Services.
  • Monitor and manage operations email inbox. Serve as backup for the Program Manager to monitor and manage events email inbox.
  • Conduct routine sweeps of GWSB buildings (Duques and Funger Halls), examine the condition of the building, return furniture to the proper location, and remove flyers/posters from unauthorized locations. Submit and/or log facilities or custodial services Fixlt ticket requests.
  • Maintain inventory of certificates, office supplies, and equipment.

Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Familiar with planning tools, including EMS (RingCentral, formerly known as Hopin) software, website management, resourceful in procurement, and budget management.
  • Thrives within a small, cohesive team, takes independent initiative to achieve program objectives, and can become a subject matter expert within the team.
  • Experience working with students, faculty, staff, and vendors, including proficiency in vendor contracts, budget management, invoice processing, and managing service providers.
  • Possesses advanced proficiency in Microsoft Excel and Visio and familiarity with virtual meeting and planning software.
  • Collaborates effectively with a diverse population at all levels, facilitates decision-making and conflict resolution, maintains a positive and professional demeanor, and treats all stakeholders (staff, students, faculty, and vendors) with courtesy and respect.
