Job Summary:

The Program Assistant works as part of a team to provide administrative and program management support for the Paris, France study abroad site of the Office of Global Programs. This position is a shared office support resource and reports to the Director of the Paris Site.
Essential Functions:
Student Affairs


  • Assist with all aspects of study abroad program administration.

  • Serve as initial point of contact, providing guidance to all members of campus community and visitors seeking information or resources.

  • Provide positive, accurate, and timely communication and student-centered support.

  • Help students to troubleshoot problems and report issues to appropriate staff.

  • Serve as part of a 24/7 on-call student emergency response rotation and coordinate responses to emergencies consistent with SJU's emergency response protocols as needed.

Activities And Events

  • Assist the Paris team with planning and facilitation of arrivals, departures, and orientation presentations for residents throughout the year.

  • Assist with the planning and implementation of activities that promote cross-cultural engagement.

  • Assist with the coordination of campus ministry and community service activities.

General Administrative Tasks

  • Assist the Paris team with basic administrative tasks and support as assigned by Director of the Paris Site to ensure smooth functioning of programs and operations.

  • Maintain inventory of office supplies and place orders as needed.

  • Manage mailing and shipping for administrative purposes.

  • Support faculty with basic IT assistance in classrooms and computer lab.

Work Environment:
This position operates in a professional office environment and is required to use standard office equipment such as personal computers, printers, copiers, multimedia equipment, etc.
Physical Demands:
No unusual physical demands are required other than occasional walking deriving from field trips/site visits with students.
Position Type/Expected Hours of Work:
Full-time position of 35 hours per week, as per French CBA. Office hours are Monday to Friday, with occasional evening/weekend/public holiday work due to programmatic needs or emergencies.
Travel:
Occasional travel to St. John's locations in Rome and New York may be required.
Required Education and Experience:

  • Secondary school education supplemented by office training and minimum 4 years of relevant experience, or college degree supplemented by 2 years of relevant experience in a public-facing setting, preferably educational.

  • Knowledge of office procedures.

  • Familiarity with Microsoft Office suite.

Preferred Education and Experience:

  • 1-3 years' work experience in higher education.

  • Familiarity with the U.S. higher education system.

  • Experience studying or living abroad.

Additional Eligibility Qualifications:

  • Authorized to work in the Schengen area.

  • Fluent in both French and English, both written and spoken.
