Position Summary
The Program Assistant provides program and administrative support to the Elon University Center for Access and Success (CAS). The Program Assistant will work for the four main initiatives including the Elon Academy, the Odyssey Scholars Program, First-Generation Support Services, and the Village Project. The Program Assistant is responsible for the overall day-to-day operations of the CAS, providing support for the staff and students within the office. The Program Assistant must be highly organized and efficient with the ability to balance multiple tasks and responsibilities. They must have strong critical thinking skills, the ability to exercise good judgment, and must maintain a high level of discretion and confidentiality. They must always maintain an intense focus on accuracy with excellent written, verbal, and interpersonal communication skills, and the ability to work independently and as part of a team. Occasional weekend and evening duties are required.

    Job Duties
    • Office - Act as the primary presence and resource for the Center for Access and Success, faculty, staff, and families include opening and closing office, and maintaining a professional work environment. - Manage the workflow for the Center. - Maintain records and databases of the Center's programs, activities, grants, and initiatives. - Handle correspondence with students, families, faculty, and staff. - Assist with reports for the Center. - Welcome visitors to the Center and answer questions regarding all initiatives in the Center to the best of their ability. The Program Assistant will defer to Elon Academy, Odyssey, First-Gen, or Village Project programs if additional information is required. - Coordinate event management logistics for meetings and events, including space reservations, set-up requests, catering orders, and media needs. - Coordinate Monthly meetings/lunch for the Center Staff. - Supervise student employees, manage the recruitment, marketing, hiring, training, supervision, and evaluation of student staff providing support and mentorship while encouraging professionalism in the workplace.
    • Funding/Budget - Reconcile Procurement Card purchases, allocate receipts, reimbursements, and manage check requests for the Center. - Coordinate events related to the dissemination of information regarding the program as the center. - Manage educational stipend account balances ($2,000) for each Odyssey scholar (approximately 140 scholars).
    • Communication - Collaborate and build relationships with campus partners to distribute information as necessary. - Update publications materials as needed. - Provide correspondence to acknowledge donors. - Update Center Website and Resources. - Assist with finding resources to provide Spanish translation for the Center for Access and Success programs.
    • Events/Activities - Work with staff each program area to support, plan, and implement, year-round program; such as Elon Academy (recruitment, orientation, a few Saturday Programs); Odyssey (stipends, meals, graduation); First-Gen (celebration, graduations); and Village (Summer, assistance in recruitment of tutors) and new grant funded initiatives. - Assist with the summer day camps and residential programs related to the Center for Access and Success. This includes (but is not limited to) coordinating summer housing, meals, transportation, linens, supplies, etc. Assists with logistical preparation and implementation of Odyssey events (e.g., summer orientation) - Provide logistical support for programs, activities, initiatives and assessment of all Center for Access and Success events and programs - Participate in Center events and programs on an as-needed basis.
    • Supporting the Mission - Maintain confidential files and information. - Support university events, including, but not limited to: Convocations, Commencement, Family Weekend, and events related to the CAS. - Performs other duties as required to ensure the quality and success of the program.
