The University of Pittsburgh School of Nursing is seeking a Program Administrator. This position is responsible for all administrative and operational functions of the PhD and DNP Programs.

The incumbent should have the ability to acquire, collate, and report data obtained from students, student cohorts, and the PhD & DNP programs, including the preparation of summary reports, tables, charts, and graphs. Having the knowledge to assist with grant and manuscript preparation, submissions, and public presentation preparation is a plus.

The incumbent will have considerable interactions with PhD and DNP students; excellent communication, personal interaction and problem solving skills are required. 

Qualified individuals must be able to work independently with minimal supervision, must be detail-oriented and able to establish priorities appropriately.

Excellent communication skills to interface with a culturally diverse student population are necessary. This position requires advanced software skills and the ability to master other applications as needed.

An ideal candidate would have experience with MS Office Suite, particularly word processing, spreadsheet, and other standard productivity software; the ability to expand computer skills to gain additional skills when necessary is a requirement. Knowledge of University policies and procedures, Canvas, and PeopleSoft is desired. 

A baccalaureate degree is preferred. A qualified candidate should have one to two years of experience in an academic support or administrative support position, preferably in a University setting. The incumbent should have skills to function well in a multi-demand office environment. Beneficial skills include excellent organizational, communication, and computer skills, strong attention to detail, and the ability to attend to and prioritize multiple tasks and demands from multiple sources.



Job Summary

Oversees administrative operations, facilitates and schedules projects, serves as liaison between internal and external stakeholders, recommends organizational changes to increase effectiveness, and resolves issues. Assists with strategic plans and budgetary functions.


Essential Functions 

The individual must have a high level of organizational and administrative skills to complete many of the tasks required for the position which include:
- supporting admissions 
- assisting with the preparation of programmatic grant and scholarship applications
- preparing materials and data for external and internal PhD and DNP program review
- tracking student progress, statistics, and curricular milestones. 
- answering student questions and remedying issues
- coordinating all program events and support for events
- developing and implementing program policies and procedures
- overseeing media communications, website updates, and preparing and distributing program newsletters
- performing budgetary functions to include processing and reconciling program expenditures


Physical Effort 

Little physical effort required. Duties are primarily sedentary. May be required to move objects up to 25 pounds occasionally.
